What they need

Position Summary

Empire Medical Training is seeking a hands-on, highly organized Operations Manager to keep the day-to-day business running smoothly and on schedule. This role is the operational hub of the company: it coordinates our live seminars and trade shows, supports our physician faculty, keeps our in-house content production on track, and works alongside Sales, Marketing, and executive leadership to make sure projects and priorities get done accurately and on time.

This is a full-time, in-office position at our Fort Lauderdale headquarters, with periodic travel to support live training events. We are looking for someone who enjoys owning the details, solves problems quickly when something changes at the last minute, and wants to grow with a fast-moving company. Familiarity with the aesthetics, wellness, or medical education industries is a strong plus.

About Empire Medical Training

Empire Medical Training is the nation’s leading provider of aesthetic, anti-aging, pain management, and functional medicine education for healthcare professionals. With nearly 30 years of experience, we deliver top-tier live and virtual training to thousands of practitioners every year across the U.S. and abroad.

We’re a fast-growing, high-impact organization with a powerful brand, a strong leadership team, and an entrepreneurial culture. We’re expanding globally with strategic partnerships across Latin America and continue to lead our industry through innovation and excellence.

Key Responsibilities

Day-to-Day Operations

  • Coordinate daily operations across departments, working with team leaders to track active projects, priorities, and deadlines.
  • Keep teams aligned, follow up on open items, and make sure tasks are completed accurately and on time.
  • Maintain operating calendars, checklists, and standard procedures so that recurring work runs the same way every time.

Seminar and Trade Show Coordination

  • Plan and coordinate the logistics for live workshops, virtual programs, trade shows, and special events: venues, hotels, room setup, shipping, materials, supplies, and on-site staffing.
  • Manage vendor relationships and contracts for venues, hotels, AV, catering, and event services, and look for ways to reduce costs without reducing quality.
  • Track event costs, attendance, and results, and report on each event to leadership after it closes.
  • Travel to events as needed to support on-site execution and resolve issues in real time.

Faculty Support

  • Serve as a day-to-day point of contact for our physician faculty: scheduling, travel arrangements, agreements, onboarding, and event logistics.
  • Communicate clearly and professionally with faculty and resolve questions and issues quickly.
  • Help recruit and onboard new faculty as our program calendar grows.

Marketing and Content Coordination

  • Work with the Marketing team to make sure seminar, trade show, and program launch details are accurate and delivered on time for campaigns.
  • Coordinate the in-house filming schedule so that studio time, faculty availability, and marketing needs line up.
  • Act as the connective point between the media team, marketing, and faculty during content production.

Business Support

  • Support executive leadership on new vendor, venue, and partnership opportunities that help the company grow.
  • Keep operational records, reports, and expense tracking current and accurate.
  • Identify process improvements and cost savings, and put them into practice.

Qualifications

Required

  • 4+ years of operations, event, or project coordination experience
  • Hands-on experience coordinating live events, conferences, trade shows, or training programs from planning through on-site execution.
  • Strong organizational skills and attention to detail, with a track record of managing many moving parts and deadlines at once.
  • Excellent written and verbal communication, with the professionalism to work directly with physicians, senior faculty, and vendors.
  • Comfortable with budgets, vendor negotiation, expense tracking, and basic reporting.
  • Able to work full time on site in Fort Lauderdale, Monday through Friday, with flexibility for occasional evenings, weekends, and travel to events.

Preferred

  • Experience in medical aesthetics, functional medicine, healthcare, continuing medical education, or professional training.
  • Experience coordinating video or content production schedules.
  • Bachelor’s degree in business, hospitality, event management, healthcare administration, or a related field.
  • Bilingual English/Spanish.

Compensation and Benefits

This is a full-time, in-office position with a competitive base salary based on experience, plus performance-based bonuses. We reward initiative and results, and we are committed to creating opportunities for advancement as the company continues to grow.

Our competitive benefits package includes:

  • Company-sponsored group health coverage.
  • Retirement savings plan with tax-advantaged contributions.
  • Generous paid time off: paid holidays, vacation that grows with years of service, and paid sick leave.
  • Grow with us: meaningful opportunities for professional advancement and increased compensation as the company continues to succeed and expand.

Background checks and reference checks will be performed.
