About Vantus Wealth
Vantus Wealth is committed to providing thoughtful, personalized wealth management and exceptional service to our clients. Our team values professionalism, integrity, collaboration, innovation, and a commitment to doing things the right way.
We are seeking an experienced Operations Manager to serve as a central point of operational execution, project coordination, technology enablement, and process improvement across the firm.
This is a high-impact, individual-contributor role for someone who enjoys taking approved priorities and turning them into organized action. The ideal candidate is highly organized, proactive, technology-minded, and comfortable creating structure from ambiguity, managing multiple priorities, and driving projects from planning through implementation and completion.
The Operations Manager will play an important role in making Vantus Wealth easier and more efficient to work with while helping deliver the “Edge Over Ordinary” client experience.
Position Summary
The Operations Manager is responsible for managing projects, improving processes, coordinating cross-functional initiatives, and helping the firm maximize its existing technology and systems.
This position works closely with employees, Senior Advisors, committees, vendors, and other stakeholders to ensure projects move forward, responsibilities are clear, deadlines are met, and improvements are successfully implemented.
The Operations Manager does not have direct reports or supervisory authority. Instead, success in this role comes from organization, communication, technology, judgment, relationship-building, and consistent follow-through.
The ideal candidate is someone who sees a problem and thinks, “How can we make this easier, more efficient, and more consistent?”
Essential Responsibilities
Project & Initiative Execution
- Develop clear project plans for approved initiatives, including desired outcomes, responsibilities, dependencies, milestones, and deadlines.
- Manage multiple projects and priorities simultaneously while maintaining organization and accountability.
- Keep projects moving forward by tracking progress, following up on commitments, and identifying obstacles.
- Coordinate with employees, Advisors, vendors, committees, and other stakeholders as needed.
- Communicate concise and useful project updates, including status, responsibilities, risks, outstanding items, and next steps.
- Identify potential delays or roadblocks and work to resolve them or escalate them appropriately.
- Ensure completed projects are properly implemented, adopted, documented, and integrated into day-to-day operations.
- Take ownership of assigned initiatives from planning through implementation and completion.
- Maintain accurate project documentation and records.
Technology & Systems Improvement
- Develop a strong working knowledge of Vantus Wealth’s CRM, including Advyzon, Microsoft 365, and other core business systems.
- Identify opportunities to improve how existing technology is configured and utilized.
- Help develop and implement workflows, automation, integrations, templates, and system-based controls that improve efficiency and consistency.
- Partner with employees, Advisors, and outside vendors to implement practical technology solutions.
- Identify opportunities to reduce manual work, duplicate data entry, avoidable errors, and inconsistent processes.
- Research and evaluate emerging technologies and tools that may improve firm operations, subject to applicable security, compliance, and approval requirements.
- Serve as a resource to team members in understanding and effectively utilizing approved systems and technology.
- Continuously look for ways technology can improve the experience of clients, employees, and Advisors.
Process Improvement & Cross-Firm Coordination
- Proactively identify operational friction, bottlenecks, redundancies, communication gaps, and inconsistent processes.
- Work directly with employees and teams closest to the work to understand challenges and identify practical solutions.
- Design and recommend simpler, clearer, and more consistent workflows.
- Coordinate approved process changes across affected teams to ensure responsibilities and expectations are clearly understood.
- Document and standardize processes when doing so improves efficiency, accountability, service, or the client experience.
- Help ensure process improvements are effectively implemented and maintained.
- Identify opportunities to improve the overall employee and Advisor experience by reducing unnecessary administrative burden.
- Support initiatives designed to enhance the Vantus Wealth client experience.
Administrative & Operational Support
- Coordinate operational activities across departments and teams as needed.
- Maintain organized documentation related to projects, processes, systems, and procedures.
- Assist with special projects and other operational responsibilities as assigned.
- Coordinate with outside vendors, technology providers, and professional partners.
- Assist with implementation of new systems, processes, and tools.
- Prepare reports, presentations, spreadsheets, documentation, and other materials as needed.
- Support meetings, initiatives, and projects through preparation, follow-up, documentation, and execution.
- Maintain appropriate confidentiality when working with client, employee, compliance, financial, and proprietary firm information.
Professional Expectations & Confidentiality
- Maintain a professional, collaborative, accountable, service-oriented, and solutions-oriented approach.
- Take initiative and consistently move work toward resolution.
- Be comfortable creating structure when priorities or processes are unclear.

- Maintain accurate documentation and records.
- Protect confidential client, employee, financial, compliance, and proprietary information.

- Build positive working relationships across the firm and contribute to a collaborative environment.
- Approach challenges with curiosity, resourcefulness, and a focus on practical solutions.

- Strong follow-through and demonstrated ability to take ownership of projects from beginning to completion.
- Strong proficiency with Microsoft Word, Excel, Outlook, Teams, OneDrive, and Adobe Acrobat Pro.
