What they need
Operations Manager — NooklynAbout Nooklyn
Nooklyn is a New York City real estate brokerage and rental platform, founded in 2012. We help renters find apartments and connect landlords with qualified tenants, closing roughly 4,500 leases a year across the city. We're a lean core team supporting a large agent workforce, we build our own software, and we use AI tools every day to move faster.
The role
You keep Nooklyn's operations moving. The biggest hat is support, for our agents and for our customers, and the real job inside it is turning the papercuts that keep coming back into fixes, either to how we operate or to the software we build. Around that sit agent onboarding, events, and office projects, with vendors running through all of it.
This is an in-person, five-days-a-week role in our Brooklyn office, reporting directly to Moiz, Nooklyn's CTO and partner. You'll wear several hats in a single week: Monday you're chasing a signage vendor, Tuesday you're setting up a new agent's accounts, Thursday you're clearing the support inbox, Friday you're running a landlord event. If that sounds chaotic, this isn't for you. If it sounds like a job where you'd finally be on top of everything, keep reading.
What you'll do
Support (the biggest hat)
Support is the umbrella: agents on one side, renters, guarantors, and landlords on the other. Closing tickets is table stakes. The job is noticing which papercuts keep coming back and killing them at the source.
- Agent support: be the first call for agents on process, paperwork, tools, and "who do I ask about this"; onboarding and offboarding live here
- Customer support: work the shared inbox in Front for renters, guarantors, and landlords; resolve the routine yourself, escalate the rest with the context the next person needs
- Papercuts to fixes: keep a log of recurring issues and decide whether the fix is operational (a checklist, a template, a policy, a training) or software. Own the operational fixes yourself; write the software ones up as clear, specific requests for the product team
- Plan on roughly 10 to 20 hours a week in the inbox itself. The rest of the hat is making that number go down
Agent onboarding and people ops
- Run onboarding for new real estate agents: agreements, license docs, system access (email, CRM, listings tools, Slack), desk and equipment, orientation
- Build and maintain the onboarding checklist so every agent gets the same setup and nothing gets missed
- Keep agent records current: licenses, renewal dates, signed agreements; flag expirations before they bite
- Run offboarding the same way: access removed, equipment back, records closed
- Light HR admin: time-off tracking, policy questions, first point of contact. No certification needed; judgment is
Events
- Plan and run staff events: team lunches, quarterly gatherings, the holiday party, offsites
- Plan and run landlord and client events: venue, invites, RSVPs, catering, run of show, follow-up
- Own the budget per event and report what it cost against what we planned
Office projects
- Own office projects end to end: signage, showroom build-outs and refreshes, furniture, equipment, moves
- Run the office itself: supplies, kitchen, repairs, building management, mail, deliveries
- Keep one running list of every open project with owner, status, next step, and date, and keep it current without being asked
Vendors, across all of it
- Every hat above has vendors in it: caterers, signage shops, showroom contractors, IT, cleaners. Find them, vet them, get quotes, pick one, and hold them to the schedule and the invoice
Who you are
Our operation is malleable. Nothing about how we do things is sacred, and the person in this seat is expected to change it. The way work gets done is shifting now that AI can take on real tasks, and we want someone who treats that as the default tool, not a novelty.
- Owns problems. When something breaks and nobody owns it, you own it, and you don't stop at the fix for today; you ask why it keeps happening
- Builds automations with AI as a matter of course: you've used Claude, ChatGPT, or similar to draft, summarize, classify, or script away repetitive work, and you can show us something you built that still runs
- Systems over heroics: you'd rather build the checklist, the tracker, or the workflow than remember to do it yourself
- Reliable above all. You show up on time every day, and people stop checking because they know you will
- Three or more years in operations, office management, executive assistance, support, or event coordination; experience across more than one of those is the point
- Comfortable switching context: a vendor call, a new-agent setup, and twenty support tickets in one afternoon doesn't rattle you
- Strong in Google Sheets (formulas, lookups, a tracker you'd be proud of) and a task tool like Notion or Linear; comfortable in a shared inbox like Front
- Clear, direct, friendly communicator in writing and in person; unflustered by a frustrated agent or a confused renter
- Discreet with personal and financial information
Nice to have
- Experience at a real estate brokerage, property management company, or proptech startup
- Event planning or hospitality background
- Familiarity with NY Department of State licensing: renewals, sponsor changes, branch filings
- Basic bookkeeping or AP experience (bill.com, Tipalti, QuickBooks, or similar)
- Spanish
- Notary public, or willing to become one
Where this role goes
This seat is built to grow, and you pick the direction. Spend the first year owning everything above; after that the path forks:
- People side. Take on agent recruiting, training, and retention, and become the person who runs the agent experience from first interview to top producer. Operations Manager becomes People Ops or Agent Operations Lead.
- Systems side. Go deep on spreadsheets, project management, vendor and budget tracking, and the reporting behind all of it. Operations Manager becomes Operations Lead or Chief of Staff.
Both paths start the same way: being the person who is on top of everything.
Compensation and logistics
- Full-time, W-2, in person
- Nooklyn office, Brooklyn, NY
- Monday to Friday, 9am to 5pm or 10am to 6pm (pick one, keep it)
- Reports to Moiz, CTO and partner
- $65,000 to $75,000 per year, based on experience
- Health, dental, and vision insurance
How to apply
Send a short note about yourself and the messiest set of moving parts you've kept on track. Then tell us about one automation you built with AI: what it does, what it replaced, and whether it's still running. That part isn't optional; it's how we'll sort applications. Skip the cover letter; three honest paragraphs beats three pages. Apply here.
