What they need

We are seeking an Operations Supervisor who will serve as a critical operational link between inbound and outbound logistics, the packing line, warehouse staff, and facility leadership at our fulfillment facility. This role supports the Manager directly—keeping inventory accurate, shipments on time, reporting current, and the full floor operation running with precision. The ideal candidate is highly organized, tech-savvy, detail-oriented, and comfortable making decisions in a fast-paced, temperature-controlled environment.

Specific Responsibilities:

Inbound Operations

  • Check in inbound drivers upon arrival, verifying appointment details and coordinating timely dock access.
  • Confirm that inbound product and quantities match purchase orders, manifests, and carrier documentation.
  • Ensure all inbound receipts are processed accurately and completely in the Warehouse Management System (WMS) in real time.
  • Flag and document any discrepancies, shortages, overages, or damaged product and report to the General Manager immediately.

Outbound Operations

  • Prepare outbound shipments, ensuring correct product, quantities, labeling, and carrier documentation are in order prior to departure.
  • Handle and manage outbound appointment scheduling, coordinating dock availability with carrier pickups and facility capacity.
  • Communicate proactively with carriers and internal teams to prevent delays and ensure on-time outbound execution.

Scheduling & Staff Coordination

  • Coordinate daily schedules for loaders, pickers, and forklift drivers in collaboration with the Loader Manager to ensure proper coverage and workflow balance.
  • Monitor staffing levels against daily volume and raise any coverage gaps to the General Manager in advance.
  • Serve as the General Manager’s right hand—taking on delegated tasks, relaying operational updates, and maintaining open, consistent communication across the facility floor.

Inventory Management

  • Assist with inventory adjustments by responding to email requests to verify, locate, or confirm items within the WMS and on the floor.
  • Conduct routine inventory counts and cycle counts to verify system accuracy against physical stock.
  • Support inventory reconciliation efforts and escalate variances with detailed documentation.
  • Ability to work in the freezer environment for short periods as needed to perform counts, verify product, or assist with inbound/outbound tasks.

Pick & Pack Line Oversight

  • Oversee the pick and pack line operation, ensuring daily output targets are being met and the workflow is running efficiently from start to finish.
  • Monitor and track line KPIs including pack rate, order accuracy, and throughput; identify bottlenecks and take corrective action proactively.
  • Communicate line performance, operational needs, and any issues directly to the General Manager in real time.
  • Work closely with the Line Lead to align on staffing needs, pacing adjustments, and any escalations that require supervisory attention.
  • Ensure the packing line has the supplies, staffing, and information needed to hit carrier cutoff windows without disruption.

Data Entry, Reporting & Technology

  • Perform accurate and timely data entry across WMS, spreadsheets, and internal reporting tools to maintain up-to-date operational records.
  • Build, maintain, and update Excel-based reports and trackers covering inbound/outbound activity, inventory status, staffing, and daily operational metrics.
  • Generate and distribute regular operational reports to the General Manager and relevant stakeholders.
  • Leverage AI tools and modern technology to streamline reporting, improve data accuracy, and increase administrative efficiency.
  • Comfortable navigating multiple software platforms simultaneously; able to quickly learn new systems as the operation grows.

What You Bring

  • Prior experience in a warehouse, logistics, or fulfillment supervisory or administrative role preferred.
  • Proficiency with Warehouse Management Systems (WMS); ability to process receipts, adjustments, and shipments accurately.
  • Strong organizational skills with the ability to manage multiple priorities simultaneously in a high-volume environment.
  • Excellent attention to detail—discrepancies in product or quantity must be caught and documented before they become problems.
  • Clear, professional communication skills, both written and verbal; comfortable handling email correspondence and coordinating with internal teams and external carriers.
  • Ability to work in cold storage and freezer environments for periods as required by operational needs.
  • A proactive, team-first mindset with the confidence to take ownership and act as a dependable extension of facility leadership.
  • Proficiency in Microsoft Excel; able to create and manage reports, trackers, and data summaries independently.
  • Comfortable with computers, data entry, and modern technology—including AI-assisted tools—and eager to use them to work smarter.
  • Familiarity with cold-chain logistics, carrier operations, or DTC fulfillment is a strong plus.
  • Spanish is a requirement.
