What they need
Company Overview
Smart Home Charge is a leading EV charger retailer and installer in the UK, dedicated to providing homeowners with a smooth and efficient transition to electric vehicles. With a nationwide presence, we focus on delivering high-quality installations supported by our in-house technology and committed operations team.
About the role
We are looking for an organised, proactive Operations Support Coordinator to help keep our installation operations running smoothly. Working closely with the CX Manager, you will coordinate engineer onboarding, vehicle fleet administration, charger and materials ordering, supplier and fulfilment activity, and day-to-day engineer support.
This is a varied, hands-on role in a small, fast-moving business. You will keep information accurate, manage competing priorities, follow up outstanding actions and help resolve routine operational issues, escalating risks or decisions when appropriate.
Key Responsibilities
Engineer Onboarding
· Coordinate the operational onboarding of new engineers in line with agreed start dates, including vehicles, materials, tools, uniform and other requirements.
· Help ensure systems, accounts and operational information are ready, working with internal teams and external suppliers.
· Maintain engineer and onboarding records, track actions, follow up outstanding items and flag anything that could delay operational readiness.
· Support improvements to onboarding as the engineer workforce grows.
Fleet Coordination
· Coordinate vehicle requirements, allocations and handovers, and arrange servicing, maintenance, repairs and MOTs.
· Help coordinate breakdowns, accidents, insurance administration and claims, alongside fuel cards, fines and other fleet administration.
· Liaise with leasing companies, garages, insurers, engineers and other suppliers to resolve routine vehicle queries and follow up outstanding actions.
· Keep fleet records accurate, monitor upcoming requirements and highlight potential risks, costs or issues.
· Support changing vehicle requirements as the engineer workforce develops.
Ordering & Fulfilment
· Place charger orders, check order information and maintain accurate records in relevant systems.
· Track orders and liaise with charger suppliers and fulfilment partners to follow up delays and resolve missing, incorrect or damaged orders.
· Respond to order and fulfilment queries, and coordinate with relevant teams when issues or changes could affect customers or installation dates.
· Identify recurring supplier or fulfilment problems and escalate them appropriately.
Engineer Materials
· Place installation material orders in line with operational requirements and maintain accurate records of engineer needs and orders.
· Liaise with materials suppliers, monitor deliveries and follow up outstanding or delayed items.
· Investigate missing, incorrect or damaged deliveries and respond to engineer queries.
· Highlight unusual or recurring material needs, supplier or availability issues, and support changes to materials or ordering processes when required.
Day-to-Day Operational Support
· Respond to engineer and wider business queries about materials, vehicles, equipment, charger orders and operational processes.
· Investigate issues, coordinate with colleagues, suppliers and partners, and follow routine matters through to resolution.
· Keep stakeholders informed, track outstanding issues and escalate matters needing additional support or management decisions.
· Spot recurring problems and promptly raise risks to installations, engineer productivity or customer experience.
Operational Administration & Coordination
· Maintain accurate operational records, trackers, documentation and system information.
· Monitor deadlines and upcoming requirements; follow up agreed actions with engineers, colleagues, suppliers and partners until closed out.
· Update the CX Manager on outstanding activities, risks and issues, and support reporting, operational data and wider administration as required.
Process & Operational Improvement
· Identify recurring operational issues, inefficient processes and opportunities to reduce delays, costs, errors or engineer downtime.
· Suggest practical improvements and help maintain operational processes and documentation.
· Support the introduction of new suppliers, partners, systems and processes, sharing insights from day-to-day engineer and supplier interactions.
Skills & Experience
· Strong organisation, prioritisation and attention to detail, with the ability to handle several activities at once and maintain accurate records.
· A proactive, practical and solutions-focused approach, with ownership and follow-through on tasks and issues.
· Clear written and verbal communication, including confidence working with colleagues, engineers, suppliers and external partners.
· Confidence resolving routine problems independently, recognising when to ask for support or escalate.
· Comfort using business systems, spreadsheets and operational data, and managing administrative processes.
· Ability to work effectively in a busy, small and evolving business.
