What they need

About Harwell Home Care

Harwell Home Care is a national provider of community and home-based care services. We support veterans, older Australians and other members of the community to live safely, independently and with dignity in their own homes. DVA Community Nursing is a significant part of the care we provide, alongside services delivered through the Support at Home Program and other community-based care pathways.

We take the care we provide very seriously - but that doesn’t mean we take ourselves too seriously. We are compassionate, ambitious and always looking for better ways to support our clients. We also believe that warmth, connection and a good sense of humour belong in the workplace.

As Harwell continues to grow across Australia, we are looking for someone who can help more people discover and access the care we provide.

The Opportunity

The Operations Support Officer shall provide comprehensive administrative and operational support to the Head of Service Delivery and the clinical leader team.

We’re looking for an organised and proactive professional to support the smooth day-to-day operations of the team. You’ll coordinate reporting, data management, client support, and key meetings, while preparing insights and reports to support decision-making and project progress. You’ll also play an important role in improving operational efficiency through effective management of resources, communication, and systems.

  • Support data analysis efforts to provide insights on performance and key metrics.
  • Track project outcomes and support the Head of Service Delivery in presenting findings to stakeholders.

Meeting Coordination

  • Organise and schedule departmental meetings, ensuring relevant attendees are informed and prepared.
  • Take accurate, detailed meeting minutes, distribute them promptly, and follow up on action items.

Resource and Expense Management

  • Coordinate team member resources, including ordering supplies and arranging gifts for team members milestones or special events.
  • Process expenses, reimbursements, and manage budget tracking in line with department goals. ‘

Documentation and Compliance

  • Maintain a comprehensive filing and documentation system, ensuring compliance with regulatory and organisational standards.
  • Verify and update departmental records, including certifications, qualifications, and other essential documentation for compliance.

Travel and Logistics

  • Coordinate travel arrangements for the Head of Service Delivery and team members as required, including booking flights, accommodations, and transportation.

Process Improvement and Support Initiatives

  • Identify and implement operational improvements to enhance efficiency within the department.
  • Participate in various projects and initiatives aimed at streamlining operations and supporting the department’s strategic goals.

What We’re Looking For

  • Experience in Operations or Administrative Support: 2+ years of experience in a similar support role, ideally within healthcare or a related field.
  • Organisational and Multitasking Abilities: Strong capability to manage multiple priorities, tasks, and deadlines efficiently.
  • Communication Skills: Excellent written and verbal communication skills, with an ability to liaise effectively with team members, clients, and external partners.
