Operations Support Specialist

About the role

We are adding an Operations Support Specialist to take ownership of the recurring, execution-level work that keeps the business running day to day. As the team has grown, so has the volume of routine requests, account changes, purchasing, and internal coordination. This is a new position created to absorb that work directly, so the rest of the team can stay focused on the projects and client-facing priorities that need their attention.

This person is the first stop for internal requests, the one who makes sure accounts and access are set up correctly, and the one who keeps our tools, vendors, and shared files in order. It is a hands-on role with a clearly defined scope, well suited to someone who likes working through a queue, following a process end to end, and being reliably responsive.

Key responsibilities

• Act as the first point of contact for incoming internal requests, resolving them directly or routing them to the right person
• Track every request through to completion and follow up on anything left open
• Keep a running log so recurring issues can be spotted and fixed at the source
• Confirm back to the requester once something is done
• Set new team members up with the accounts, logins, and permissions they need on day one
• Remove access promptly when someone departs and verify nothing is left open
• Handle user, group, and shared drive permission changes in Google Workspace
• Maintain a current inventory of the software we pay for: who uses each tool, how many seats, and what it costs
• Track renewal dates, flag upcoming charges before they hit, and process cancellations or seat adjustments when directed
• Place orders for supplies, equipment, and services and track them through delivery

About you

• Two or more years in an administrative, coordination, or operations support role
• Comfortable in Google Workspace and confident building and maintaining spreadsheets
• Responsive during agreed working hours, and clear about status when something is delayed
• Follows an established process consistently and asks before improvising
• Discreet with confidential company and client information
• Clear, professional written English
• Experience administering SaaS tools or Google Workspace as an admin
• Experience supporting a US-based team remotely
• Familiarity with Monday, Kustomer, HubSpot
