Operations Support Specialist

Based out of the Port Melbourne Facility, the Operations Support Specialist as part of a dynamic team of two, is responsible for supporting the efficient operation of warehousing, inventory management, and domestic and international logistics activities.

Reporting to, and working closely with the Supervisor - Operations, you will coordinate the receipt, storage, movement, and shipment of goods, ensuring inventory accuracy, timely delivery, and compliance with company policies and procedures. Working closely with third-party logistics providers, freight forwarders, suppliers, and internal stakeholders, the role manages shipping documentation, inventory transactions, customer returns, and warehouse administration while maintaining a safe and organised work environment. 

Your key areas of focus will be:

• Shipping & Logistics Operations:
• Inventory Management
• Despatch - receipting inwards/outwards goods
• Picking/packing
• Customer Returns
• Maintaining all documentation
• Managing Safety & Compliance (checks and documentation)

Secondary responsibility will involve you with:

• Purchasing
• Financial Administration
• Reporting & Analysis
• Business support Administration

As an integral member of a small team of two your can-do attitude, job ownership, and your ability to work well as a trusted team player will be critical to your success. You are tech savvy, familiar with best practice processes, systems, and compliance where health and safety is top of mind. 

Demonstrated experience in the following will be key to your success:

• Experience in shipping, logistics, and inventory operations, preferably within a service or manufacturing environment
• Proficiency in managing physical inventories, conducting stocktakes, and maintaining accurate inventory records using systems such as Carton Cloud and Oracle, CRM (Salesforce)
• Strong understanding of packing, labelling, and documentation for domestic and international deliveries
• Experience coordinating with 3PL providers and freight forwarding partners for inbound and outbound logistics
• Knowledge of international shipping documentation, including Shipper Letter of Instructions, Certificate of Origin, and customs paperwork
• Familiarity with freight destruction protocols and archiving of compliance certificates
• Accurate and efficient with numerical data
• Strong administrative management skills
• Forklift Truck licence

Great attention to detail is essential executing your  responsibility as part of numerous and complex business processes, liaising with multiple internal international entities to ensure compliance standards are met.  Flexibility, initiative and willingness to assist across the team, learning and quickly building a reputation as a trusted team player is key.

Previous experience working with a large/international manufacturing business would be a distinct advantage. Professional communication skills will be necessary to manage multiple stakeholder relationships. you are tech savvy, ideally with proficiency using large ERP systems. Qualifications in Logistics, Supply Chain, Business Administration, Engineering, or a related field would be highly regarded.
