Operations Support Staff

Key Responsibilities

• Coordinate and manage schedules between sales and engineers to ensure timely and efficient service delivery.

• Communicate with sales team and engineers regarding schedules, service requirements, updates, and operational concerns.

• Log and track all equipment, tools, and company assets taken out and returned by engineers, ensuring proper documentation and accountability.

• Update and maintain the service master list for every completed and ongoing job, ensuring records are accurate and current.

• Prepare and submit daily operational updates and reports to the Operations Manager.

• Conduct quality checks on the Calibration Management and Maintenance System (CMMS) to ensure data accuracy, integrity, and process compliance.

• Monitor pending jobs, service requests, documentation, and other operational requirements, and follow up as necessary.

• Maintain organized digital and physical records related to equipment, service activities, reports, and operational documents.

• Assist with administrative tasks such as document preparation, filing, data entry, supply requests, and internal coordination.

• Assist in preparing quotations, service-related documents, checklists, forms, and other operational paperwork as assigned.

• Assist in monitoring the company's calibration tools and coordinate preventive maintenance or servicing requirements to keep them in good working condition.

• Perform other operational and administrative duties as assigned by the Operations Manager.
