Operations/Documentation Coordinator (Construction)

RESPONSIBILITIES:

• Receive, review and organize construction project documentation including permits, contracts, invoices, safety records and compliance certificates
• Maintain accurate and up-to-date filing systems, both physical and digital, ensuring easy retrieval of documents when required
• Prepare and distribute project documentation to relevant stakeholders, including clients, contractors and internal teams
• Verify the completeness and accuracy of submitted documents before processing and archiving
• Track document expiration dates and deadlines, providing timely reminders to project managers and relevant parties
• Coordinate with various departments to collect outstanding documentation and ensure timely submission
• Assist in the preparation of project reports and summaries that require compilation of existing documentation
• Support compliance and auditing processes by providing organized documentation packages upon request
• Maintain confidentiality and ensure proper handling of sensitive project information
• Perform data entry tasks accurately and efficiently into project management systems and databases

Work Schedule: Monday - Saturday
