Operation/Warehouse Executive

Location: Johor Bahru, Malaysia

Working hour: 8:00am to 5:45pm (Monday to Friday)

About the role

Fiffy Sdn. Bhd. is seeking a highly organised and efficient Operation Executive (Warehouse) to join our dynamic team in Masai, Johor. As a full-time member of our warehousing and distribution operations, you will play a crucial role in ensuring the smooth running of our logistics hub.

What you'll be doing

1. Operations Oversight

• Supervise and coordinate day-to-day warehouse, billing, and logistics operations
• Ensure timely and accurate processing of orders, deliveries, and inventory movement across all warehouse divisions: Offline, E-commerce, Reprocess / QC

2. SOP Implementation & Process Improvement SOP

• Assist in establishing and enforcing departmental standard operating procedures (SOP)
• Monitor SOP compliance across teams; identify gaps and propose improvements
• Regularly review and update existing processes to align with operational needs and company goals

3. Data Management & Reporting

• Analyze operational data to identify inefficiencies or bottlenecks
• Generate regular reports (daily, weekly, monthly) on operational performance, manpower usage, and delivery fulfilment
• Provide insights for decision-making by management

4. KPI & Goal Support

• Assist in developing long-term operational strategies aligned with department KPIs and company KRAs
• Monitor progress against key performance indicators and highlight areas for improvement

5. Budget & Cost Oversight

• Assist in preparing operational budgets and monitor department-related expenses
• Work with the team to ensure efficient resource use and cost control

6. Issue Resolution

• Proactively identify and resolve operational issues affecting warehouse performance, order processing, or delivery timelines
• Act as a key contact point for escalations from supervisors or other departments

7. Team Support & Supervision

• Motivate and support billing and warehouse staff to meet departmental targets
• Work closely with warehouse supervisors to manage staff allocation and workflow across warehouse divisions
• Assist in staff development and training

8. Cross-Department & Branch Collaboration

• Liaise with the KL and KK branches to align operational procedures and standards
• Coordinate with Merchandising and Business unit teams to ensure timely fulfillment

9. Documentation & System Coordination

• Ensure accurate record-keeping for billing, stock movement, returns, and rework jobs
• Work with the MIS team to flag and resolve system issues related to WMS or invoicing systems

10. Other Duties

• Perform other tasks and projects as assigned by the Senior Operation & System Manager
• Participate in audits, warehouse planning, and seasonal sales preparation

What we're looking for

• Minimum Qualification: Diploma/ Degree/ equivalent or relevant working experience
• Minimum 3 years of experience in a similar warehousing or logistics role
• Strong organisational and problem-solving skills with attention to detail
• Proficiency in using warehouse management systems and inventory control software
• Excellent communication and interpersonal skills to effectively collaborate with the team and stakeholders
• Knowledge of relevant health and safety regulations and procedures
• Good command of BM, EN & CN (spoken and written)
