Order Fulfilment Executive

Job Purpose

Coordinate customer orders from receipt through material readiness, production, outsourced processing and shipment for MYAMAX precision machined components and assemblies. Maintain accurate order data, align fulfilment plans with demand and capacity, and keep customers informed to achieve accurate and timely delivery.

JOB DESCRIPTION — DUTIES & RESPONSIBILITIES

Order management and customer coordination

·        Verify purchase orders against approved quotations, part numbers, drawing revisions, quantities, pricing and delivery requirements; resolve discrepancies before processing.

·        Enter and maintain orders, schedules and changes accurately in D365. Retain order confirmations and supporting records for traceability.

·        Confirm delivery dates with internal owners before communicating commitments. Update customers on status, delays and recovery plans.

Demand and material planning

·        Analyse customer forecasts, open orders and stock to plan material requirements and monthly raw material call-offs; distinguish forecasts from confirmed orders.

·        Follow up with buyers on incoming materials and identify shortages early. Align priorities with Production Planning, Procurement and Commercial.

·        Monitor inventory against approved lower and upper stock limits; flag excess, obsolete or insufficient stock and recommend actions.

Production and subcontractor follow-up

·        Track production and work-in-progress readiness, including outsourced surface treatment, against required shipment dates.

·        Coordinate subcontractor schedules and overdue deliveries with Procurement and relevant teams; monitor vendor on-time delivery.

·        Track rejects and coordinate approved rework orders in D365. Follow up recovery dates; Quality retains disposition and product-release approval.

Shipment and delivery control

·        Prepare picking, packing and delivery instructions using verified order quantities, part references and approved shipping requirements.

·        Coordinate with Warehouse, Quality and Logistics to confirm finished goods readiness, quality release, shipment documents and dispatch arrangements.

·        Track shipments and delivery confirmation. Resolve quantity or documentation discrepancies with relevant owners and inform customers promptly.

Reporting and continuous improvement

·        Maintain order, backlog, shortage, inventory and shipment reports; provide forecast analysis and weekly delivery failure root causes and actions.

·        Escalate risks arising from shortages, capacity constraints, rejections or urgent changes; coordinate agreed recovery plans and follow through on actions.

·        Improve order accuracy and fulfilment processes. Protect customer information and follow applicable safety, 5S and company procedures.
