Order Operations Specialist

We are seeking a detail-oriented and highly organized Order Operations Specialist to join our Shared Services team. In this role, you will manage the end-to-end order lifecycle, ensuring peak data accuracy, seamless tracking, and strict adherence to service level agreements (SLAs).The ideal candidate possesses exceptional high-volume data entry skills and can effectively monitor, route, and complete multi-stage operations using modern tracking systems.Job Details:

• Job Type: Full-time / Shift-based (Determined based on the approved operating model)
• Location: Remote / On-site (Determined based on country & operational scope)
• Department: Corporate Operations & Order Management

Key Responsibilities:

• Order Intake & Validation: Receive orders across approved channels and verify client details, addresses, and specifications before routing.
• Capacity & Price Verification: Confirm service/inventory availability and audit pricing compliance prior to order finalization; escalate discrepancies immediately.
• Routing & Dispatch: Assign confirmed orders to active couriers/execution units and resolve routing exceptions instantly.
• Operational Follow-Up: Monitor delayed or stalled orders, coordinate with external teams, and escalate SLA breaches.
• Proof of Delivery (PoD) Governance: Ensure 100% of closed orders are linked with valid delivery evidence or documented failure logs.
• Reconciliation & Closure: Update digital inventory, adjust authorized financial records, and close tickets in the system.

Role Scope & Authority:

• The specialist executes operations within strictly approved guidelines.
• This role does not have the authority to alter approved pricing, service zones, courier networks, inventory rules, or financial settlements without official corporate approval.

Required Qualifications:

• High proficiency in utilizing Order Management Systems (OMS), inventory tools, or digital tracking platforms.
• Exceptional accuracy in high-volume data entry and quality control.
• Proven ability to track multi-stage operations and resolve exceptions systematically.
• Strong coordination and communication skills (handling internal teams & external stakeholders).
• Ability to learn new digital tools quickly and commitment to operational documentation.
