Key Responsibilities

Order Administration – Machines, Retrofits & Modules

• Review and verify customer Purchase Orders against agreed quotation terms, and coordinate with the Sales team to resolve any discrepancies.
• Process and dispatch orders in SAP and issue Order Confirmations to customers.
• Monitor order status throughout the process, maintain accurate order information, and coordinate with the factory to ensure timely shipment.
• Prepare delivery documentation upon receipt of shipment release.

Billing & Invoicing

• Prepare and issue invoices for down payments and shipped goods.
• Process debit memo requests and coordinate related billing matters.

Reporting & Data Management

• Maintain and update warranty-related data in SAP, including Final Acceptance information.
• Ensure accurate and up-to-date data in SAP and Lotus Notes.
• Maintain reporting tools used for order processing, tracking, and internal reporting purposes.

Additional Responsibilities

• Track the movement and status of demo equipment.
• Coordinate and execute equipment shipments from the Singapore site.
• Act as a deputy within the department when required.

Requirements

Education & Experience

• Diploma or equivalent qualification in Business Administration or a related field.
• 4–5 years of relevant working experience.
• Experience in Order Processing, Sales Order Desk, Order Administration, or a similar function, preferably in an international environment.

Technical Skills

• Good working knowledge of SAP S/4HANA, particularly the SD and MM modules.
• Proficient in standard Microsoft Office applications, especially Word and Excel.
• Good knowledge of Incoterms.

Language & Personal Attributes

• Very good written and spoken English and Mandarin.
• Strong attention to detail with a precise and systematic approach to work.
• Reliable, organized, and able to manage multiple tasks effectively.
