What they need

On behalf of our client, Remember When Healthcare, we are looking for a Healthcare Scheduler to join their growing team.

About Our Client:

Remember When Healthcare is a growing healthcare organization dedicated to helping Nova Scotians remain safe, comfortable, and supported in their own homes. Their team is built on compassion, professionalism, and a genuine commitment to both the families they serve and the employees who make that care possible. As the organization continues to grow, they are investing in their people and processes to ensure clients receive exceptional care, while caregivers feel valued, supported, and connected. This is an opportunity to join a collaborative team where your ideas, leadership, and contributions will truly make a difference.

The Opportunity:

Healthcare scheduling is much more than filling shifts. This role is ideal for someone who enjoys solving puzzles, staying organized, and building strong relationships. You will manage a complex network of clients and caregivers, balancing availability, preferences, qualifications, and last-minute changes to ensure care is delivered without interruption. No two days will look the same. You'll spend time communicating with caregivers, collaborating with colleagues, problem-solving coverage challenges, and helping ensure clients receive the support they need when they need it. Healthcare doesn't stop at the end of the workday, and neither does this role. We are currently seeking an overnight Healthcare Scheduler to support after-hours operations and help ensure clients continue to receive seamless, uninterrupted care.

The Ideal Candidate:

  • You are highly organized, comfortable learning new systems, and enjoy finding solutions when things don't go according to plan.
  • You remain calm under pressure, communicate professionally, and understand the importance of balancing urgency with accuracy.
  • Most importantly, you're someone who enjoys helping people, thrives in a dynamic environment, and takes pride in keeping things running smoothly behind the scenes.
  • The ideal candidate may come from healthcare, medical administration, hospitality, customer service, logistics, or another fast-paced environment where organization, communication, and adaptability are essential.

Responsibilities:

  • Coordinate caregiver schedules to ensure client care needs are consistently met.
  • Build and maintain positive relationships with caregivers through regular communication and consistent, supportive follow-up
  • Respond to schedule changes, call-outs, and coverage gaps in a timely manner.
  • Collaborate closely with hiring, care management, and office teams to support continuity of care.
  • Monitor overtime, availability, qualifications, and scheduling constraints.
  • Communicate professionally with clients, caregivers, and internal team members,
  • Maintain accurate records and scheduling information within company systems,
  • Participate in team meetings and contribute ideas to improve processes and workflows.
  • Assist with additional administrative tasks and special projects, as required

Qualifications:

  • Previous scheduling, administrative, healthcare, customer service, logistics, or coordination experience preferred.
  • Strong computer skills and confidence in learning new software platforms.
  • Experience managing multiple priorities and competing deadlines.
  • Ability to work with a high degree of accuracy and attention to detail.
  • Exceptional communication and relationship-building skills.
  • Strong problem-solving abilities and critical thinking skills.
  • Positive, adaptable, and team-oriented mindset.
  • Comfortable working in a fast-paced environment where priorities can shift quickly.
  • Ability to work independently while maintaining strong collaboration with colleagues.
  • Legally eligible to work in Canada

Benefits

  • Salary range of approximately $50,000–$60,000 annually, experience dependent
  • Comprehensive health and benefits package
  • Paid vacation and sick time
  • Rotating weekday overnight schedule
  • In-office position based in Nova Scotia
  • Opportunity to join a growing healthcare organization with potential for long-term growth
  • Six-month onboarding and probationary period designed to support long-term success

Pay: $50,000.00-$60,000.00 per year

Benefits:

  • Dental care
  • Extended health care
  • On-site parking
  • Paid time off
  • Vision care
