Overview

All Pro Contractor is looking for an experienced financial professional to manage bookkeeping, organize construction project finances, and help management make informed decisions about spending, collections, cash flow, and profitability.

We need someone who can understand our current jobs, each project’s contract price, payments received, expenses incurred, and estimated remaining costs. The ideal candidate can organize incomplete financial information, establish reliable reporting, and explain what the numbers mean for our business.

Responsibilities

• Maintain QuickBooks Online, including transaction categorization, bank and credit card reconciliations, general ledger review, and month-end reporting.
• Assign income and expenses to the correct jobs and identify missing receipts, costs, or financial records.
• Review Buildertrend, contracts, estimates, invoices, approved change orders, and payroll records to maintain accurate project financial summaries.
• Track each project’s contract amount, payments collected, outstanding invoices, remaining billing, actual expenses, and projected profit.
• Work with management and project staff to estimate remaining labor, materials, and subcontractor costs.
• Identify budget overruns and advise management on cost control and profitability.
• Track client payment schedules and confirm upcoming billing milestones with management.
• Send payment reminders, follow up on overdue invoices, document promised payment dates, and coordinate check pickup with management.
• Record client payments after management confirms receipt.
• Track outstanding vendor and subcontractor bills and prepare a recommended payment priority list for management approval.
• Prepare a weekly spending plan covering payroll, materials, subcontractors, overhead, and other obligations.
• Maintain a rolling cash flow forecast and alert management to potential shortages.
• Prepare monthly profit and loss statements, balance sheets, and project profitability reports.
• Coordinate with our tax professional to provide accurate financial records.
• Meet with management weekly to review financial performance, concerns, and recommended actions.

Skills and Qualifications

• Construction bookkeeping, job costing, and financial analysis experience.
• Strong proficiency in QuickBooks Online.
• Buildertrend experience strongly preferred, particularly budgets, job costs, invoices, change orders, and financial reporting.
• Strong Excel or Google Sheets skills.
• Experience with cash flow forecasting, budgeting, reconciliations, and financial statements.
• Ability to organize incomplete records and establish a clear financial tracking process.
• Professional communication skills for client payment follow-ups.
• Ability to explain financial information clearly and provide practical recommendations.
• Strong attention to detail, reliable communication, and confidentiality.

Financial Access and Authority

This person will have access to the financial information needed to perform the role and will handle client payment reminders and collection follow-ups.

Management will receive payments, pick up checks, deposit funds, and approve all outgoing payments. The freelancer will not independently transfer funds, issue refunds, change payment instructions, or authorize payments. Payment plans, discounts, and invoice adjustments require management approval.

Schedule and Compensation

Remote, part-time freelance position. Hours will depend on the initial organization work, bookkeeping volume, and number of active projects.

Pay: Up to $8.00 per hour
