This is an excellent opportunity for someone who enjoys administration, providing great customer service and working as part of a busy and supportive team. The role will initially run until December 2026, with the possibility of continuing beyond this period.
About the role
As a Payments Administrator, you will provide a comprehensive and high-quality administrative service to support the day-to-day running of our Direct Payments Service within the Finance team.
The role is primarily administration-based, with some outgoing calls to clients and customers. You may also be required to assist with incoming calls when demand requires.
You will play an important role in ensuring our payment, payroll and purchase ledger services run smoothly, accurately and efficiently.
Key responsibilities
Your duties will include:
- Providing administrative support for payroll and purchase ledger services, including data entry and the filing and storage of timesheets and invoices.
- Maintaining accurate client records across our CRM system, payroll software and Sage.
- Monitoring team inboxes daily, opening, sorting and responding to enquiries or distributing them to the appropriate team member.
- Liaising with ICBs and local authorities to update client information where required.
- Recording accurate information to support the production of management reports.
- Processing incoming and outgoing post, including scanning and distribution.
- Responding to initial enquiries about our Payments Service, providing information where appropriate and escalating queries when necessary.
- Supporting the wider Payments Team with general administrative duties, including sending remittances and quality-checking data input.
- Undertaking additional duties as required to support the effective operation of the service.
About you
We are looking for someone who is highly organised, reliable and able to work accurately in a busy environment.
You will have:
- Eligibility to work in the UK and ability to commute to the Chelmsford office
- Excellent customer service and communication skills, with the ability to communicate effectively with a wide range of people through different channels.
- Strong administrative skills and the ability to accurately track, record and manage information.
- Excellent attention to detail.
- Good IT skills, including experience using Microsoft applications and CRM systems.
- Strong organisational skills and the ability to prioritise competing demands.
- The ability to work independently, use your own initiative and work effectively without direct supervision.
- A proactive approach and the ability to work both independently and as part of a team.
Desirable experience
It would be advantageous if you have:
- Experience working in a busy administrative and customer-focused environment.
- Experience providing customer service over the telephone.
- Experience supporting customers or clients with disabilities.
What we offer
This is a part-time, 3-month fixed-term opportunity, 19.5–22.5 hours over 2 or 3 days per week, initially until December 2026, with the potential for the role to continue beyond the initial fixed-term period.
