What they need

Overview

We are seeking a proactive and detail-oriented Part-Time Travel Coordinator to support our Australia-based client operating in the construction industry.

With project managers, site supervisors, engineers, and executive teams frequently moving between corporate offices, active job sites, and interstate locations, smooth travel logistics are critical to daily operations. This position ensures that all travel is organized, cost-effective, and fully documented without burdening project teams or the finance department.

While this position begins as a part-time administrative role (20 hours/week), a successful coordinator can grow alongside the client’s expanding operations into long-term pathways.

Key Responsibilities

  • Practical Logistics & Itinerary Management:
  • Coordinate end-to-end travel arrangements, including flights, regional transfers, car hires, site-adjacent accommodation, and short-term stay arrangements.
  • Anticipate real-world travel nuances specific to construction operations (e.g., transit times from regional airports to remote job sites, site access hours, and flight flexibility for shifting project deadlines).
  • Administrative Expense Tracking:
  • Collect, organize, and audit travel receipts, toll charges and fuel expenses, from field and office staff.
  • Reconcile travel expenses against company guidelines and code them accurately for seamless submission to the Finance/Payroll team.
  • Cross-Departmental Coordination & Proactive Communication:
  • Serve as the central point of contact for employees requesting travel or tracking reimbursements across multiple business units.
  • Maintain up-to-date travel logs, calendars, and booking records in internal administrative tools.

Qualifications & Requirements

  • Bachelor’s Degree in Business Administration, Hospitality Management, Tourism, Communications, or a related field.
  • Minimum of 1–2 years of hands-on experience in administrative support, travel management, operations coordination, or executive assistance (experience supporting Australian/NZ accounts or the construction/mining/engineering sector is a strong advantage).
  • Excellent written and verbal English communication skills.
  • Comfortable learning, navigating, and managing corporate travel booking portals, expense tracking systems, and receipt management platforms.
  • Strong proficiency in Microsoft Office (e.g., managing logs, basic formulas, data reconciliation, and tracking audit trails).
  • Tech-savvy with a high degree of comfort adopting new software, online workplace systems, and internal communication platforms.
  • Strong engagement and follow-up capabilities—comfortable liaising directly and diplomatically with staff across all organizational levels, from site supervisors and engineers to senior executive management.
  • Highly organized with strong multi-tasking and priority-management abilities in a fast-paced environment.
  • A proactive, inquisitive mindset—able to look beyond basic flight/hotel requests to anticipate practical travel nuances (e.g., transit buffers from regional airports to remote construction job sites, vehicle hire policies, baggage allowances for field gear, and flight flexibility for shifting project timelines).
  • High attention to detail with zero tolerance for administrative errors in expense reconciliation, tax receipts (GST compliance), booking codes, and dates.

A genuine career opportunity with great benefits awaits!

  • Paid training from day one
  • Part-time work from home
  • Above-average industry-standard compensation package
  • Exposure to world-class, high-level management from foreign direct superiors
  • Friendly and inclusive team

Pay: Php25,000.00 - Php35,000.00 per month
