What they need

Patient Care Coordinator — Pediatric Therapy Clinic (Full-time, Hybrid) Nurtured Pediatrics · Lakewood, CO

Nurtured Pediatrics is a pediatric occupational therapy and feeding therapy practice serving children birth to three across the Denver metro, in clinic, in home, and by telehealth. We're turning 8 years old and celebrating by opening a new clinic in Lakewood.

The role

You're the first voice families hear and the person who keeps the clinic running. You own the phones, the inbox, scheduling, new-patient onboarding, insurance authorizations, and day-to-day clinic operations. You work alongside a small team of pediatric therapists and report directly to the owner.

What you'll do

  • Answer and return calls professionally during business hours, Mon–Fri 9–5, whether in clinic or remote
  • Field new-patient inquiries, send intake forms, schedule evaluations, and route families to the right therapist
  • Maintain the waitlist and follow the practice's intake protocols exactly
  • Complete new-patient onboarding in our EMR (Fusion) and keep the weekly census current
  • Verify eligibility and submit and track prior authorizations (Health First Colorado Medicaid, Kaiser)
  • Manage the shared inbox, faxes, referral intake, and records requests
  • Handle pricing and payment conversations with families directly
  • Open and close the clinic each day it's open
  • Turn over treatment rooms between sessions: wipe down mats, run tools through the sanitizer, return everything to its place
  • Keep the kitchenette clean and stocked; manage supplies and vendors
  • Coordinate with our billing specialist on claims

Help us open the clinic

You'll start before the doors open. Your first weeks are spent working alongside the owner to set up our new Lakewood clinic: receiving deliveries, arranging furniture and equipment, organizing the front desk and treatment rooms, and training on our systems and covering phones while the space comes together. This is light work. Occasionally it involves lifting equipment up to 25 lb, but rarely, and only during opening.

Schedule

Full-time, 40 hours per week, W-2. Hybrid: in clinic whenever therapists have sessions, remote otherwise. Phone coverage 9–5 either way.

Who you are

  • You have 2+ years in a medical or therapy front office, with scheduling experience required
  • You have Medicaid prior authorization experience (strongly preferred); billing experience is a plus
  • You're responsive: calls and messages returned the same business day
  • You follow written protocols precisely and ask before improvising
  • You think on your feet and triage situations big or small to the best solution
  • You anticipate what's needed next rather than waiting for approval at each step
  • You problem-solve with the resources you've been given. You keep your own notes and find answers in our systems and documentation before coming to the owner
  • You take initiative with referral sources, community partners, and parents, and represent Nurtured Pediatrics as a knowledgeable, reliable guide to their care
  • You know the Denver metro and Colorado well enough to route in-home referrals to the right therapist's territory
  • You're experienced in Google Workspace and an EMR, or quick to learn a new platform
  • You adapt to company-wide systems, and when you see a better way, you propose a systems-based fix
  • You're careful with documentation and HIPAA
  • You're warm with families, especially anxious parents of infants and toddlers

Pay and benefits

$25–35 per hour, W-2, full-time.

  • Paid sick leave
  • Colorado FAMLI paid family and medical leave
  • Colorado SecureSavings retirement plan with payroll deduction
  • Access to a healthcare plan
  • Lunch stipend
  • Drinks and snacks stocked in clinic
  • Hybrid schedule: remote on days without clinic sessions
  • Paid training on Medicaid prior authorizations, our EMR, and our intake systems
  • A direct line to the owner and a real say in how a brand-new clinic runs

To apply

Resume plus a short note on your scheduling and authorization experience.

Pay: $25.00 - $35.00 per hour

Expected hours: 30.0 – 40.0 per week

Benefits:

  • 401(k)
