What they need

Job Summary:
Our search is on for an organized and personable Behavioral Health Scheduling Coordinator to handle scheduling and patient communications for a solo clinical psychology practice. You’ll keep the calendar booked, arrange assessments for military-referred veterans and applicants, and serve as a warm, professional first point of contact for patients and referring doctors. You’ll stand out if you’re comfortable handling sensitive health information and treat confidentiality with care.

Key Responsibilities:

  • Check in each morning with the practice’s military referral contact to collect the veterans and applicants who need assessments
  • Place referred veterans and applicants into the designated calendar blocks
  • Close calendar gaps by contacting designated patients about open appointment slots
  • Follow up with patients who don’t have a future appointment booked
  • Give priority to military and cash-pay patients when offering preferred times
  • Confirm insurance eligibility, cards on file, and outstanding balances
  • Keep up with RingRx voicemails and text messages and reply to patients quickly
  • Handle the practice inbox and reply to emails from patients and doctors
  • Assist with outreach to local clinicians to strengthen care coordination relationships
  • Work in SimplePractice while observing strict HIPAA protocols and two-factor authentication

Mandatory Skills:

  • Proven experience in medical or behavioral health scheduling and patient communication
  • Hands-on experience with practice management or EHR software (SimplePractice preferred)
  • Experience confirming insurance eligibility and benefits
  • Strong understanding of HIPAA and the care of confidential patient information
  • Comfortable with two-factor authentication and strict data security procedures
  • Excellent written and spoken English with a professional, compassionate manner by phone and email
  • Strong communication skills
  • Diligent, careful, and self-managing

Preferred Skills:

  • Experience in a mental health, psychology, or therapy practice
  • Familiarity with RingRx or similar business phone and texting platforms
  • Experience coordinating referrals or working with military or veteran populations
  • Experience reaching out to healthcare providers
  • Basic social media posting experience
  • Able to work on several priorities concurrently

Why Join Us:
This is an opportunity to become a trusted, central member of a small practice where your work has a direct effect on patients’ access to care. You’ll work closely with a supportive provider, own your area fully, and have room to grow as the practice expands.
