What they need

About The Role You are the first voice patients hear and the last face they see. We are looking for a Patient Coordinator who shows up, stays positive under pressure, and takes ownership of a full schedule. You will help patients understand their benefits and costs, feel confident moving forward with care, and leave with their next visit booked.

What You Will Do

  • Greet patients warmly, and manage check-in and check-out accurately and efficiently
  • Answer phones promptly and turn new patient calls into scheduled appointments
  • Build and protect the schedule: fill openings and cancellations, work recall and unscheduled treatment lists
  • Confirm upcoming appointments by phone and text to reduce no-shows
  • Make sure every patient leaves with their next appointment scheduled
  • Verify insurance eligibility and benefits before appointments, and explain coverage in plain language
  • Present treatment plans and discuss fees, insurance estimates, and payment or financing options, helping patients say yes to the care they need
  • Collect copays and balances at the time of service, and post payments accurately
  • Keep patient records, forms, and account notes complete and accurate
  • Coordinate with the clinical team so handoffs are smooth and nothing falls through the cracks
  • Protect patient privacy and follow HIPAA requirements

What We Need From You

  • Reliability. Regular, predictable, on-time attendance for your full scheduled shift is an essential function of this job. The front desk cannot open without you
  • Presence. This is an in-person role. You are engaged, attentive to the patient in front of you, and smiling with a great warm tone
  • A good attitude. You stay calm, friendly, and professional with a ringing phone, a full lobby, and an upset patient all at once
  • Team first. You jump in without being asked, communicate openly, and help the whole office succeed
  • Comfort with money conversations. You can talk about cost and ask for payment clearly and confidently, without pressure and without avoiding it
  • Ownership of the schedule. You treat an open slot or a patient leaving without an appointment as a problem to solve
  • Attention to detail. Insurance, payments, and patient information are right the first time
  • Professional presentation. As the face of the practice, you maintain a high standard for personal hygiene, grooming, and professional dress every shift

Qualifications

  • At least 1 to 2+ years of dental front office experience
  • Experience verifying dental insurance and explaining benefits to patients
  • Experience presenting treatment plans and collecting patient payments
  • Experience scheduling and confirming appointments and managing a provider schedule
  • Working knowledge of dental terminology and procedure codes
  • Experience with Denticon practice management software is a plus
  • Strong phone, computer, and typing skills
  • [Bilingual English/Spanish is a plus]

Physical Requirements The following are essential to this role and must be met with or without reasonable accommodation:

  • Sit or stand at a front desk workstation for extended periods
  • Use a computer, keyboard, and multi-line phone throughout the shift
  • Speak and hear clearly to communicate with patients in person and by phone
  • See clearly at close range to read screens, forms, and insurance documents
  • Move between the front desk, lobby, and operatories throughout the day
  • Lift and carry office supplies up to [15] pounds
  • Maintain professional appearance and personal hygiene standards appropriate for close patient contact, including avoiding strong odors and fragrances

Our hiring process

  • Short video interview you complete on your own time, then an in-office interview [and working interview]
  • We contact prior employers for references, including questions about attendance, dependability, and teamwork. Please be ready to provide at least two supervisor references
  • Offers are contingent on satisfactory reference and background checks
  • New team members complete a 90-day introductory period
