What they need
Job Overview:
Verdant Practice Solutions is seeking a Patient Experience Coordinator to support a boutique aesthetic medicine practice in Santa Monica.
We are looking for someone who brings warmth, professionalism, exceptional attention to detail, and a genuine instinct for hospitality. This is an on-site, patient-facing role within a highly personalized clinical environment where the smallest details matter.
We are especially interested in candidates who are highly organized, polished, tech-savvy, eager to learn, and excited by the opportunity to grow within a small, high-performing team.
About Us:
We are a boutique aesthetic medicine practice in Santa Monica built around thoughtful, evidence-based care and an exceptional patient experience.
We believe the smallest details matter. From the way a patient is greeted to how thoughtfully a question is answered, every interaction is an opportunity to make someone feel genuinely cared for.
Our culture is grounded in hospitality, clinical excellence, professionalism, continuous learning, and ownership. We are a small, growing team, which means every person plays an important role in the experience we create.
We’re looking for a full-time Patient Experience Coordinator to join us.
About the Role:
The Patient Experience Coordinator is at the center of the day-to-day patient experience at the Clinic.
You’ll welcome patients, manage scheduling and communication, process payments, answer phones and messages, help maintain a beautiful and organized environment, and support the team in keeping the clinic running smoothly.
This is a hands-on role. Some moments will involve warmly welcoming a new patient or helping coordinate their care; others may involve restocking a room, organizing inventory or noticing that something in the reception area needs attention and taking care of it without being asked.
We can teach you our treatments, technology and systems. What is much harder to teach—and what matters most to us—is warmth, judgment, curiosity, attention to detail and a genuine instinct for taking care of people.
You are:
- An exceptional written and verbal communicator who understands that tone, grammar and details matter
- Naturally warm, polished and service-oriented, with good judgment and composure
- Highly organized and able to move between priorities without losing attention to detail
- Comfortable with technology and genuinely interested in learning new systems, tools and AI
- Curious, coachable and receptive to feedback
- A team player who takes initiative, follows through and takes pride in doing even the small things exceptionally well
- Experience in a high-touch hospitality or service environment is a plus.
Requirements:
- Proven experience in medical office administration or healthcare support roles, preferably within a clinic setting
- Excellent computer skills with proficiency in Microsoft Office applications and electronic health records management
- Exceptional customer service skills with a friendly demeanor, strong phone etiquette, and professional appearance
- Previous clinic or healthcare front desk experience is preferred
- Strong organizational skills with attention to detail in filing, documentation review, and administrative support tasks
Benefits + Perks:
We believe exceptional patient care starts with creating a workplace where great people can learn, contribute and grow.
- Competitive hourly compensation, depending on experience
- Paid sick time and paid holidays
- Monthly health/wellness stipend
- Employee access to select skincare products and aesthetic treatments*
- Ongoing education and training
- Meaningful opportunity for professional growth as the Clinic grows
*Employee treatment and product benefits are subject to clinic policies and eligibility.
Who Will Thrive Here:
This position is especially well suited to someone early in their career who is ambitious, thoughtful and eager to learn.
If you’re the person who remembers someone’s name, notices the detail everyone else missed, communicates beautifully, learns quickly and naturally thinks, “What can I do to make this experience better?”—we’d love to meet you.
Pay: $25.00 - $29.00 per hour
Benefits:
- 401(k) matching
- Employee discount
- Free parking
- Health insurance
- Opportunities for advancement
- Paid sick time
- Paid time off
- Paid training
- Wellness program
Application Question(s):
- How would you describe your work style? What type of work environment brings out your best performance?
- What system or method do you use to keep track of multiple responsibilities, deadlines, and follow-ups?
- If you disagreed with your manager's approach to a situation, how would you handle it?
- Tell us about a time you had to work with a difficult customer, coworker, or manager. How did you handle the situation?
