What they need

About Us

Melot Chiropractic is a collaborative, family-owned chiropractic dedicated to providing exceptional care and creating a welcoming experience for every patient.

As our clinic continues to grow, we're looking for a friendly, organized, and motivated Patient Experience & Scheduling Coordinator to join our team.

This is more than a traditional front desk position. We're looking for someone who enjoys building relationships, thrives in a fast-paced environment, takes ownership of their responsibilities, and is excited to play an active role in the continued growth of our practice.

What makes this opportunity different? We believe that when our clinic grows, our team should benefit from that success. That's why we offer a combination of hourly pay and performance-based bonuses that allow your earnings to grow alongside the clinic.

What You'll Do

- Patient Experience & Customer Service

  • Welcome patients with a warm, friendly, and professional attitude, creating a positive experience from the moment they arrive.
  • Manage patient check-in and check-out efficiently.
  • Answer incoming calls, respond to emails and text messages, and provide timely, professional communication.
  • Build meaningful relationships with patients, helping them feel valued, comfortable, and cared for.
  • Address patient questions and concerns, taking initiative to resolve issues and ensure a positive experience.
  • Educate patients about available services, memberships, packages, pricing, and promotions.

- Scheduling & Practice Growth

  • Manage appointments across multiple providers, including chiropractors and therapists.
  • Proactively maintain and optimize provider schedules, minimizing gaps and maximizing appointment availability.
  • Follow up with patients regarding missed appointments, cancellations, and rescheduling.
  • Help patients understand the value of our memberships and packages, confidently recommending options that align with their needs.
  • Encourage patient retention through exceptional service, proactive communication, and consistent follow-up.
  • Take an active role in supporting the clinic's growth by identifying opportunities to improve scheduling efficiency and patient satisfaction.

- Patient & Attorney Coordination

  • Serve as a professional point of contact for attorneys, law offices, and motor vehicle accident (MVA) patients.
  • Coordinate patient appointments and communication to support continuity of care.
  • Monitor MVA patient schedules, ensuring appointments remain current and missed visits are addressed promptly.
  • Assist with tracking patient documentation, outstanding appointments, and administrative information needed for attorney and insurance communications.
  • Maintain accurate, organized patient records while protecting confidential information.

- Administrative & Clinic Operations

  • Process patient payments, memberships, packages, and gift card purchases accurately.
  • Maintain organized patient records and scheduling systems.
  • Keep the reception area clean, organized, and welcoming.
  • Monitor and restock office supplies as needed.
  • Support providers and management with daily administrative tasks.
  • Assist with additional administrative and appropriate clinical support responsibilities as needed.
  • Maintain a professional appearance and follow clinic uniform standards.

Who We're Looking For

The ideal candidate is someone who genuinely enjoys helping people while also having the drive and initiative to contribute to a growing business.

We're especially interested in someone who is:

  • Warm and personable: You naturally connect with people and make them feel welcome.
  • Highly organized: You can manage multiple schedules, responsibilities, and details without losing track of what matters.
  • Comfortable with technology: You have strong computer literacy skills and can quickly learn new software and systems.
  • An excellent multitasker: You can confidently manage phone calls, patient check-ins, scheduling changes, and administrative responsibilities in a busy environment.
  • Proactive and self-motivated: You recognize what needs to be done and take initiative without waiting to be asked.
  • Confident in sales and communication: You're comfortable discussing memberships and packages, explaining their value, and helping patients make informed decisions.
  • Detail-oriented: You understand the importance of accuracy, follow-through, and confidentiality.
  • Dependable and trustworthy: You take pride in your work, show up consistently, and can be counted on to follow through.
  • Growth-minded: You're excited to contribute to a growing clinic and see your own success connected to the success of the team.

Experience & Qualifications

Prior chiropractic or massage clinic experience is NOT required.

We believe that a positive attitude, strong work ethic, willingness to learn, and genuine care for others are just as important as previous experience.

Training will be provided on our procedures, scheduling systems, services, and office protocols.

Previous experience in customer service, hospitality, sales, scheduling, or medical office administration is a plus.

Compensation & Growth Opportunity

Pay: $18.00 - $25.00 per hour

Schedule & Long-Term Opportunity

  • Part-time and full-time position, up to 36 hours per week.
  • Fast-paced, collaborative work environment.
  • On-the-job training provided.
  • Opportunity to grow professionally as our clinic expands.

We are looking for someone who is interested in building a long-term career with our team, rather than seeking temporary employment.
