Job Description:

We are seeking a Patient Service Representative to join a busy pediatric office in Decatur, GA. This role is the front line of the practice, supporting families with scheduling, check-in, insurance, and billing while keeping daily office operations running smoothly. The office uses a car-based waiting model: patients wait in their vehicles and are called in when a room is ready, so there is little lobby management. The office works with athenaOne for EHR and practice management and Weave for phones and texting.

Requirements:

  • Experience in a medical front office or patient access role preferred
  • Pediatric office experience preferred
  • Proficiency with EHR and practice management systems (athenaOne or similar)
  • Experience with insurance eligibility verification, copay collection, and balance collection
  • Multichannel patient communication: phone calls, texts (Weave or similar), portal messages, and voicemails
  • Strong communication skills and a friendly, professional manner with families
  • Ability to multitask and stay organized in a fast-paced office
  • Attention to detail in processing forms and records, with knowledge of HIPAA and patient confidentiality
  • Legally authorized to work in the United States
  • Proficient in speaking, reading, writing, and understanding English

Responsibilities:

  • Answer and route phone calls, sending clinical calls to the nursing team
  • Respond to patient texts, portal messages, and voicemails
  • Schedule, reschedule, and cancel appointments using provider templates
  • Work the recall list and fill cancellations daily
  • Check in patients, including insurance cards and copays
  • Call families in from the parking lot when a room is ready
  • Book follow-up visits as families leave
  • Verify insurance eligibility and register new patients, newborns, and siblings
  • Collect patient balances
  • Process school, camp, and sports forms and records requests
  • Handle walk-ins and drop-offs
  • Open and close the office, reconcile the day's payments, and maintain the printer and office supplies
