What they need

Patient Services Coordinator

Full-Time | $15-18 per hour | Aether | Asheville, NC

Aether is seeking a warm, organized, dependable Patient Services Coordinator to join our team full-time.

This person will be the first point of contact for many of our patients and an important part of the day-to-day functioning of our practice. We’re looking for someone who genuinely enjoys working with people, stays calm when things get busy, pays attention to details, and understands that a great patient experience often begins before a patient ever sees a clinician.

Because Aether provides mental health and interventional psychiatry services, our ideal candidate is comfortable interacting with people who may be anxious, overwhelmed, depressed, or simply having a difficult day. Warmth, discretion, good judgment, and professionalism matter enormously in this role.

Responsibilities

The Patient Services Coordinator will:

  • Welcome patients and visitors and help create a warm, professional environment
  • Monitor the building entrance and buzz patients and authorized visitors into the locked building
  • Check patients in for appointments and notify appropriate team members of their arrival
  • Schedule, reschedule, and manage patient appointments
  • Answer incoming phone calls and route calls and messages appropriately
  • Respond to routine patient questions and help patients navigate basic administrative needs
  • Assist with patient forms, paperwork, and other front-office processes
  • Maintain accurate patient demographic and scheduling information
  • Communicate professionally and compassionately with patients, clinicians, medical providers, and other staff
  • Maintain the reception and waiting areas so they remain welcoming, organized, and stocked
  • Monitor office and clinical supply levels and place orders as needed
  • Receive deliveries and coordinate with vendors and service providers
  • Sort and distribute mail and packages
  • Assist with copying, scanning, filing, and other administrative tasks
  • Help identify and resolve routine office and scheduling issues
  • Maintain patient confidentiality and follow HIPAA and practice privacy policies
  • Provide general administrative support to the Aether team as needs arise

What We’re Looking For

The right person for this role is:

  • Warm, personable, and genuinely good with people
  • Exceptionally dependable and punctual
  • Organized and attentive to detail
  • Comfortable managing multiple priorities and interruptions
  • Calm and professional under pressure
  • Able to communicate clearly and respectfully, both verbally and in writing
  • Comfortable learning scheduling, electronic health record, and other office technology
  • Able to exercise discretion when handling sensitive patient information
  • Proactive—someone who notices what needs to be done rather than always waiting to be asked
  • Collaborative and comfortable working as part of a multidisciplinary team

Previous experience in a medical, mental health, healthcare, or professional office setting is strongly preferred. Experience with electronic health records and medical scheduling is a plus.

About Aether

Aether is an integrative mental health practice in Asheville, North Carolina, specializing in interventional psychiatry and innovative approaches to mental healthcare. Our team includes medical and mental health professionals working collaboratively to provide thoughtful, individualized care.

We believe the experience patients have with our administrative team matters just as much as the experience they have in the treatment room. We’re looking for someone who understands that answering a phone with kindness, remembering a patient’s name, solving a scheduling problem, or simply making someone feel welcome can be an important part of their care.
