What they need
Be the welcoming voice patients can count on.
MyDocPlus is seeking an entry-level Patient Services Coordinator / Receptionist to support patients and the independent medical practices we serve. You will be a friendly, dependable first point of contact, helping patients get answers, routing requests appropriately, and keeping administrative work organized and accurate. Prior healthcare experience is welcome but not required; we value a willingness to learn, strong service skills, and ownership of your work.
This is more than answering phones. You will balance calls, patient and member messages, inboxes, faxes, follow-ups, and administrative tasks across multiple systems. Training will be provided on our tools and workflows, but success requires careful documentation, timely responses, confidentiality, and proactive communication when you need help.
What You’ll Own
· Provide courteous, empathetic phone and written support to patients, members, and practice teams; listen carefully and clarify what each person needs.
· Monitor patient, member, and administrative inboxes throughout the day; respond or route messages within required timelines, including same-day member responses and patient/admin responses within 48 hours.
· Process and route incoming faxes by the end of the day; accurately verify patient details, record interactions, and maintain complete notes and follow-up information.
· Keep daily to-do lists, task queues, and HubSpot activity current; monitor outstanding items and proactively escalate overdue or at-risk work.
· Learn to use practice and administrative platforms such as Ebridge, Hint, Inbox Health, website access logs, and other assigned systems to support membership, billing-related inquiries, and patient coordination.
· Investigate concerns before forwarding them; gather missing information, identify an appropriate next step, and bring a proposed solution when escalating an issue.
· Work collaboratively with teammates and leadership to provide consistent, professional service while protecting patient privacy and practice relationships.
What We’re Looking For
· Entry-level applicants welcome; experience in reception, customer service, call centers, or administrative support is helpful but not required.
· Clear, professional verbal and written communication, with patience and empathy when handling frustrated or confused callers.
· Strong organization and time-management skills; ability to switch between calls, messages, and follow-up tasks without losing details.
· Comfort learning multiple computer systems, maintaining accurate records, and following written procedures and response deadlines.
· Sound judgment, attention to detail, respect for confidentiality, and willingness to ask questions or escalate concerns promptly.
· Reliable attendance, accountability, coachability, and a service mindset; healthcare terminology or medical office experience is a plus.
The Person Who Will Thrive Here
You are welcoming, curious, dependable, and solution oriented. You listen beyond the surface of a concern, double-check patient information, document what you do, and follow through. If you are unsure of a process or falling behind, you tell your supervisor early rather than waiting to be asked. You communicate respectfully, accept feedback, protect confidential information, and understand that every interaction represents MyDocPlus and the practices we support.
How We Measure Success
Success means accurate, compassionate service and consistent follow-through, not simply call volume. We assess response timeliness, same-day fax completion, current notes and task queues, accurate routing and documentation, confidentiality, teamwork, initiative, and proactive escalation. Our team follows defined standards for patient/member/admin inboxes, HubSpot tasks, follow-up logs, and other assigned systems.
Our Hiring Process
Qualified applicants may complete a brief screening questionnaire, a customer-service scenario, and a basic written communication or organization exercise, followed by interviews. We look for good judgment, willingness to learn, attention to detail, and the ability to take responsibility for a patient request from start to finish.
If you enjoy helping people, staying organized, and making sure no request falls through the cracks, we would love to hear from you.
Benefits:
- 401(k)
- Dental insurance
- Health insurance
- Vision insurance
Application Question(s):
- Have you worked in a position requiring you to manage phone calls, emails, customer requests, and multiple computer systems while maintaining accurate records?
- You are managing several patient messages, incoming calls, and administrative tasks. You realize that you may not complete everything by the required deadline. In 3–5 sentences, tell us what you would you do?
- A frustrated patient calls because they have contacted the office twice and have not received a response. In 3–5 sentences, tell us how would you handle the situation?
