What they need
Patient Services Supervisor – Medical Practice
Colorado Eye Institute | Colorado Springs, CO
Full-Time
Colorado Eye Institute is seeking an experienced, highly organized Patient Services Supervisor to lead our front desk operations. This position is ideal for someone who is comfortable leading a team, holding staff accountable, solving problems proactively, and maintaining a high standard of patient service in a busy medical practice.
The Front Desk Supervisor plays an important role in both the patient experience and the operational performance of the practice. We are looking for a leader who doesn't simply identify problems—they take ownership, develop solutions, follow through, and ensure their department is operating effectively.
Key Responsibilities
- Supervise and support front desk staff across the practice.
- Oversee daily front desk operations, including patient check-in and check-out, scheduling, registration, and collection of patient balances.
- Ensure appropriate front desk coverage and proactively address staffing or workflow issues.
- Monitor patient schedules and work with other departments to maximize provider schedule utilization.
- Ensure staff accurately verify and update patient demographics and insurance information.
- Ensure copays, deductibles, outstanding balances, and other patient-responsibility amounts are collected appropriately.
- Monitor front desk performance and departmental metrics.
- Train, coach, and evaluate employees and provide timely feedback when expectations are not being met.
- Consistently enforce company policies, procedures, attendance expectations, and performance standards.
- Address patient concerns professionally and appropriately.
- Identify recurring operational problems and bring forward solutions
- Communicate effectively with technicians, physicians, surgery scheduling, billing, referrals/authorizations, and management.
- Participate in the onboarding and training of new front desk employees.
- Maintain appropriate staffing schedules and coordinate coverage for absences and vacations.
- Help develop and improve front desk workflows, policies, and procedures.
- Provide management with regular reporting on departmental performance, challenges, staffing, and opportunities for improvement.
- Perform other duties as assigned.
What We Are Looking For
The right candidate will be a leader first. We are looking for someone who:
- Takes ownership of their department and its results.
- Is comfortable holding employees accountable.
- Addresses performance problems promptly rather than allowing them to continue.
- Uses data and measurable results to manage the department.
- Is highly organized and follows through on commitments.
- Can prioritize effectively in a fast-paced environment.
- Remains professional and composed when dealing with difficult situations.
- Communicates clearly and directly.
- Understands that excellent patient service and strong business operations go hand in hand.
- Works collaboratively with other departments rather than operating in a silo.
- Looks ahead, anticipates problems, and takes action before they become larger issues.
- Supports organizational policies and leadership decisions consistently.
Qualifications
- Previous medical office/front desk experience strongly preferred.
- Previous supervisory or management experience required.
- Ophthalmology, optometry, or other high-volume specialty medical practice experience is a plus.
- Experience with medical scheduling and electronic practice-management systems preferred.
- Knowledge of insurance verification, patient registration, copays, deductibles, and patient collections preferred.
- Strong computer and organizational skills.
- Excellent verbal and written communication skills.
- Demonstrated ability to lead employees and manage multiple priorities.
