The candidate should be comfortable handling payroll for multiple clients or a large employee base, preparing payroll reports, managing statutory deductions and salary TDS, supporting year-end tax activities, and coordinating with HR, Finance, Accounts and clients. Strong Excel skills, working knowledge of payroll/HRMS software and a good understanding of Indian payroll compliances are essential.

3. Key Responsibilities

· Perform monthly salary TDS calculations, maintain tax workings and support Form 24Q, Form 16 and related activities.

· Prepare and validate salary disbursement files and coordinate for salary release.

· Process Full and Final (F&F) settlements, including leave encashment, notice pay, recoveries, gratuity and other applicable components.

· Perform payroll, salary, statutory and accounting reconciliations; investigate and resolve differences.

· Maintain accurate employee salary master data and payroll records in HRMS/payroll software.

· Respond to employee and client queries related to salary, payslips, PF, ESIC, PT and TDS.

· Coordinate with HR, Finance, Accounts, clients, banks and statutory consultants as required.

· Support internal, statutory and payroll audits by providing workings, reports and supporting documents.

· Track changes in applicable payroll and statutory rules and support timely implementation.

· Identify payroll discrepancies and system-related issues, follow up for resolution and maintain proper documentation.

· Protect confidential employee and salary information and follow defined approval and data-security processes.

4. Required Experience and Industry Background

· 3–4 years of practical experience in end-to-end Indian payroll processing is required, candidates with only HR recruitment or attendance-management experience will not be suitable.

· Preference for candidates from payroll outsourcing companies, HRMS/payroll service providers, HR consulting firms, or organisations handling payroll for multiple clients.

· Candidates from a company payroll team may also be considered if they independently manage payroll calculations, statutory deductions, TDS, reconciliations and employee queries.

· Experience handling payroll for multiple clients, different salary structures and varying client-specific payroll policies will be an advantage.

· Hands-on exposure to Indian payroll statutory compliance and salary TDS is essential.

5. Tools and Software Knowledge

· MS Excel – Essential: Strong working knowledge of formulas such as IF, SUMIF/SUMIFS, COUNTIF/COUNTIFS, VLOOKUP/XLOOKUP, Pivot Tables, filters, sorting and data validation. Ability to check and reconcile large payroll data sets.

· Willingness to learn new payroll systems and adapt to different client requirements.

7. Qualification

Graduate in Commerce, Accounting, Finance, HR or a related discipline preferred. A relevant payroll/statutory compliance certification is an advantage but not mandatory where practical experience is strong.

8. Success Measures

· Payroll is completed accurately and within agreed timelines.

· Payroll reports, statutory calculations and reconciliations are complete and properly checked.

· Payroll queries and discrepancies are resolved within reasonable turnaround times.

· Employee data and payroll documentation are accurate, confidential and audit-ready.
