Payroll Operations Manager

We are seeking an experienced Payroll Operations Manager to oversee payroll administration and vendor coordination for a multi-location organization. This individual will help ensure payroll is processed accurately and on time, maintain compliance with applicable regulations, and serve as a key resource for employees and internal stakeholders. The role will also focus on payroll reporting, team support, vendor performance, and continuous process improvement.

Payroll Operations

• Oversee day-to-day payroll activities in partnership with an external payroll service provider.
• Manage payroll schedules, employee changes, deductions, adjustments, and other payroll-related transactions.
• Monitor payroll processing to ensure accuracy, timeliness, and data integrity.
• Investigate and resolve payroll discrepancies, escalating complex issues when necessary.
• Partner with Finance and Accounting to support payroll reconciliations, journal entries, and financial reporting.

Compliance & Reporting

• Ensure payroll processes align with applicable federal, state, and local regulations.
• Coordinate payroll tax reporting, filings, and related compliance activities with external providers.
• Oversee year-end payroll activities, including reconciliations and employee tax reporting.
• Maintain accurate payroll documentation and support internal and external audits.
• Monitor regulatory changes and implement updates to payroll procedures as needed.

Team Leadership & Employee Support

• Provide direction, training, and support to payroll team members.
• Establish consistent procedures and promote accuracy across payroll activities.
• Partner with HR and other departments to address employee payroll questions and resolve discrepancies.
• Develop resources and training materials to support payroll processes and system usage.

Payroll Analytics & Reporting

• Prepare and analyze payroll reports to identify trends, discrepancies, and opportunities for improvement.
• Provide management with meaningful payroll data and insights to support business decisions.
• Monitor payroll accuracy, processing efficiency, and key operational metrics.
• Support reporting needs across Finance, HR, and business operations.

Vendor & Stakeholder Management

• Maintain the relationship with the external payroll provider and monitor service quality.
• Address service issues and identify opportunities to improve vendor performance.
• Participate in vendor reviews, system evaluations, and contract discussions as needed.
• Collaborate with cross-functional teams to maintain accurate employee records and efficient payroll workflows.

Projects & Process Improvement

• Lead or support payroll system enhancements, implementations, integrations, and upgrades.
• Evaluate existing processes and recommend improvements to efficiency, accuracy, and employee experience.
• Coordinate payroll-related initiatives across HR, Finance, Accounting, and operational teams.
• Develop and maintain standardized procedures and controls to support consistent payroll administration.
