PAYROLL SPECIALIST

About the role

This role involves managing payroll processing, compliance, auditing, and employee support functions. You will be responsible for collecting and verifying timesheet data, calculating gross pay including overtime and bonuses, processing deductions, and distributing funds. You will ensure payroll activities comply with federal, state, and local tax laws, maintain accurate employee records, and perform regular audits and reconciliations. You will also respond to employee questions and collaborate with HR and finance teams.

Key responsibilities

• Collecting and verifying timesheet data and employee working hours
• Calculating gross pay, including overtime, bonuses, commissions, and retro pay
• Processing deductions for taxes, insurance, retirement contributions, and wage garnishments
• Distributing funds via direct deposit or physical paychecks
• Ensuring payroll activities comply with federal, state, and local tax laws
• Maintaining accurate and up-to-date employee payroll records in HRIS or payroll databases
• Updating systems for new hires, terminations, job title changes, and pay rate adjustments
• Managing multi-state tax filings and setting up new state tax accounts as needed
• Performing regular audits and reconciliations of payroll data to detect and fix discrepancies
• Preparing periodic payroll reports for management, finance, and auditors

About you

• Proficiency in payroll software like QuickBooks and advanced knowledge of Microsoft Excel
• Attention to detail crucial for spotting errors in data entry and maintaining 100% accuracy in payments
• Ability to handle sensitive financial and personal data with strict discretion
• Strong mathematical skills to calculate complex pay structures and resolve discrepancies
