Payroll Specialist

Job Summary

We are seeking a detail-oriented and proactive Payroll Specialist to join our dynamic finance team. In this role, you will be responsible for managing payroll processing, ensuring compliance with labor and tax laws, and maintaining accurate payroll records. Your expertise will support the organization’s financial integrity and employee satisfaction by delivering precise and timely payroll services. Responsibilities

• Process payroll accurately and efficiently using various payroll systems such as Workday, ADP, Paychex, UltiPro, Kronos, Ceridian, and other supported platforms.
• Ensure compliance with employment law, labor regulations, and tax requirements by staying current on relevant legislation.
• Reconcile payroll data through detailed analysis of spreadsheets, general ledger accounts, and accounting software like QuickBooks or PeopleSoft.
• Handle sensitive employee information with the utmost confidentiality while maintaining data integrity during entry and updates.
• Manage payroll tax filings, including federal, state, and local taxes, ensuring timely submissions and accurate reporting.
• Collaborate with HRIS systems to update employee records related to time & attendance systems and employment status changes.
• Support month-end closing processes by preparing journal entries and assisting with governmental accounting reports as needed.
• Conduct account reconciliations related to payroll expenses and liabilities to ensure financial accuracy.
• Assist in audits related to payroll and labor law compliance by providing necessary documentation and analysis.
• Maintain comprehensive documentation of payroll procedures, system configurations, and audit trails for transparency and continuous improvement.

Experience

• Proven experience working with payroll systems such as Workday, ADP, Paychex, Kronos, Ceridian, or UltiPro is highly preferred.
• Strong background in corporate accounting principles including double-entry bookkeeping, journal entries, debits & credits, and general ledger management.
• Demonstrated knowledge of employment & labor law as well as payroll tax regulations at federal, state, and local levels.
• Familiarity with HRIS platforms and time & attendance systems used for payroll processing.
• Excellent analytical skills with the ability to perform account reconciliation and data analysis efficiently.
• Experience handling confidential information with integrity in a fast-paced environment.
• Proficiency in spreadsheets (Excel), accounting software (QuickBooks or similar), and financial concepts related to payroll management is essential.
