What they need

A key role supporting our Building Surveyors and Manager for our Hobart office.  We are looking for a mature, highly organised and capable Permit Coordinator to join our team.

This is not a traditional administration role; we are looking for someone who understands the building industry, can confidently coordinate the day-to-day requirements of a busy building surveying practice and has the maturity and initiative to become the key support person for our Building Surveyors and to support the Manager of our Hobart office operations.

You will work closely with our Building Surveyors, taking ownership of administration and coordinating the workflow associated with approvals. You will help keep the team organised, ensure matters progress efficiently, communicate with clients and industry stakeholders and make sure the office runs smoothly.

About the role

Your responsibilities will include:

  • Providing high-level administrative and operational support to our Building Surveyors.
  • Coordinating building permit and approval processes from application through to completion.
  • Preparing, lodging, tracking and maintaining building approval documentation.
  • Monitoring project progress, outstanding information, inspections, correspondence and deadlines.
  • Liaising professionally with builders, developers, architects, designers, engineers, clients, councils and other industry stakeholders.
  • Managing correspondence, records, files, reports and documentation.
  • Maintaining accurate project and client information within our systems.
  • Coordinating inspections, meetings, appointments and the Building Surveyors' schedules.
  • Following up outstanding information and ensuring matters keep moving.
  • Assisting with invoicing and general financial administration.
  • Managing the day-to-day running and organisation of the Hobart office.
  • Supporting the Building Surveyors so they can focus on technical surveying and client outcomes.

About you

We seek someone who goes beyond a typical administrator. Ideally, you will have:

  • Experience in the building, construction, planning, surveying, engineering, property or similar industry.
  • A strong understanding of how building projects and approvals work.
  • Excellent organisational and time-management skills.
  • Strong attention to detail and a high level of accuracy.
  • Excellent written and verbal communication skills.
  • Experience dealing with builders, consultants, clients and other industry professionals.
  • An understanding of accounts, invoicing and general financial administration.
  • The ability to prioritise competing deadlines and keep multiple projects moving.
  • Strong computer and systems skills and the ability to learn new software quickly.
  • The ability to work independently while being an integral part of the wider team.

What we offer

  • A key role within an established Building Surveying team.
  • The opportunity to take genuine ownership of the Hobart office.
  • Direct involvement with experienced Building Surveyors and a broad range of building projects.
  • A role with variety, responsibility and room to grow.
  • The opportunity to develop your knowledge of building surveying, permits and approvals.
  • A professional and supportive working environment.
  • The chance to make a meaningful contribution to how the Hobart team operates.
  • A highly competitive salary package is available, determined by experience and knowledge.

If you're looking for more than an administration job and want a position where your initiative, industry knowledge, leadership and organisational skills genuinely matter, we'd like to hear from you. Please email your response regarding the role above, along with your resume to Melissa Wilson - [email protected]
