Personal Assistant

Role & responsibilities

• Manage calendars, meetings, appointments, reminders and daily schedules.
• Coordinate professional and selected personal tasks.
• Source, screen and coordinate candidates for recruitment requirements.
• Conduct initial candidate calls and maintain recruitment trackers.
• Follow up with prospective clients, leads and business contacts.
• Coordinate sales meetings, proposals and ongoing follow-ups.
• Draft professional emails, messages, reports and presentations.
• Conduct research and organise information for decision-making.
• Use ChatGPT and other AI tools for research, drafting, summaries and productivity.
• Maintain organised records, databases and task trackers.
• Coordinate with vendors, clients, candidates and internal teams.
• Ensure important tasks and follow-ups are completed on time.

Preferred candidate profile

We are looking for someone who is:

• Graduate with 1-5 years of relevant experience.
• Excellent in spoken and written English.
• Confident, professional and comfortable speaking on calls.
• Highly organised with strong follow-up skills.
• Proactive and able to work independently.
• Discreet and comfortable handling confidential information.
• Comfortable with Google Workspace / Microsoft Office.
• Familiar with ChatGPT and modern AI productivity tools.
• Experienced in executive assistance, recruitment, sales coordination, client servicing or operations.

Experience working directly with senior executives, founders or business owners would be an advantage.
