PERSONAL ASSISTANT / OFFICE MANAGER
Job Description
Location:
East London, Eastern Cape
Reporting to:
Chief Executive Officer (CEO)
Employment Type:
Full-Time
1. Position Overview
We are seeking a highly organised, energetic and professional Personal Assistant / Office Manager to work closely with the CEO and provide day-to-day executive and administrative support.
This is a dynamic role suited to an individual who is proactive, confident, bubbly, well-presented and an excellent communicator. The successful candidate will play an important role in ensuring that the CEO's office operates efficiently while also coordinating general office administration and stakeholder engagements.
The position will not be fully office-based and may require attendance at meetings, events, project sites and other locations within East London and surrounding areas. Having your own reliable transport will therefore be a strong advantage.
2. Key Responsibilities
Executive & Personal Assistant Support
- Manage the CEO's diary, appointments and meeting schedule.
- Coordinate meetings with clients, partners, employees and other stakeholders.
- Prepare meeting agendas, documents, presentations and supporting information.
- Take minutes where required and follow up on agreed action items.
- Manage correspondence and assist with drafting professional emails, letters and other communications.
- Screen and appropriately direct telephone calls, emails and enquiries.
- Maintain an organised filing and document management system.
- Assist the CEO with travel arrangements, bookings and itineraries where required.
- Provide administrative support on projects and assignments delegated by the CEO.
- Maintain a high level of confidentiality when handling business and sensitive information.
Office Management & Administration
- Coordinate the day-to-day administration of the East London office.
- Ensure that the office remains organised, professional and appropriately resourced.
- Liaise with suppliers, service providers and other third parties.
- Coordinate office supplies and general operational requirements.
- Assist with organising meetings, functions, workshops and company events.
- Receive and professionally engage visitors, clients and stakeholders.
- Follow up with internal team members on deadlines, deliverables and outstanding matters.
- Assist with basic record keeping, quotations, invoices, purchase documentation and other administrative functions where required.
3. Minimum Requirements
- Matric / Grade 12.
- A relevant qualification in Office Administration, Business Administration, Secretarial Studies, Management or a related field will be advantageous.
- Previous experience as a Personal Assistant, Executive Assistant, Office Administrator or Office Manager will be advantageous.
- Good computer literacy and confidence working with technology.
- Strong working knowledge of Microsoft Word, Excel, PowerPoint, Outlook and Teams.
- Good written and verbal English communication skills.
- Ability to prepare professional correspondence and documents.
- Strong organisational and time-management abilities.
- Valid driver's licence preferred.
- Own reliable transport will be a strong advantage due to the mobile nature of the position.
4. Personal Attributes
The ideal candidate should be:
- Bubbly, energetic and approachable, while maintaining professionalism.
- An active and confident communicator.
- Comfortable engaging with people at different levels, from employees to senior executives and external stakeholders.
- Highly organised and able to manage multiple priorities.
- Proactive and able to anticipate what needs to be done rather than always waiting for instructions.
- Reliable, punctual and accountable.
- Discreet and trustworthy when dealing with confidential information.
- Detail-oriented with strong follow-through.
- Adaptable and comfortable working in a fast-moving business environment.
- Presentable and able to professionally represent the CEO and organisation.
- A problem solver with a positive, can-do attitude.
- Able to work independently and take initiative.
5. Working Environment
This is not a traditional desk-bound Personal Assistant position. The successful candidate will work closely with the CEO and should be comfortable with a flexible working environment.
While the role will be based in East London, responsibilities may include attending external meetings, coordinating activities away from the office, visiting project or partner locations and assisting with business-related activities outside the normal office environment.
The candidate should therefore be flexible, mobile, dependable and comfortable working in a dynamic entrepreneurial environment.
6. Ideal Candidate
We are looking for someone who can become a reliable right-hand support to the CEO — an individual who combines excellent administration with strong people skills, initiative and the confidence to interact professionally with clients, partners and the broader team.
The successful candidate should be someone who takes pride in keeping things organised, communicates effectively, follows through on commitments and contributes positively to the energy and professionalism of the office.
