What they need
Are you the person who sees what needs doing, gets things organised and makes sure nothing slips through the cracks?
We’re looking for a highly capable Personal Assistant to support a high-performing real estate agent and team. Someone who takes pride in accurate work, communicates confidently and enjoys helping others perform at their best.
This is a varied role at the heart of our business. You’ll bring structure to busy days, coordinate property campaigns and help deliver an exceptional experience for our clients. You’ll be trusted to take ownership, anticipate needs and keep things moving.
The role
Working closely with the lead agent and team, your responsibilities will include:
- Keeping the team organised: managing diaries, appointments, inboxes, deadlines and follow-up actions.
- Coordinating property campaigns: organising photography, marketing materials, listing uploads, advertising schedules and open-home resources.
- Preparing polished documents: assisting with appraisals, listing presentations, property information packs, vendor reports and correspondence.
- Supporting clients: responding professionally to enquiries, coordinating appointments and keeping vendors, buyers and suppliers informed.
- Maintaining accurate systems: keeping our CRM, client records, property information and campaign activity current.
- Supporting sales administration: preparing and checking documentation, tracking key dates and coordinating required information within company processes.
- Helping deliver our marketing: assisting with newsletters, social media, digital content and agent profiles.
- Improving how we work: identifying gaps, solving everyday problems and introducing practical efficiencies.
Priorities can change quickly in real estate. You’ll need to adjust confidently while keeping track of the details and seeing tasks through to completion.
What you’ll bring
You’ll be someone who combines strong administration skills with sound judgement and a warm, professional manner.
We’re looking for:
- Excellent organisation and time management, with the ability to manage competing priorities.
- Exceptional attention to detail, including accurate spelling, grammar and data entry.
- Initiative and resourcefulness—you look ahead, ask useful questions and take action.
- Clear written and verbal communication, and confidence dealing with a wide range of people.
- Strong computer skills and the ability to learn new systems.
- Discretion, reliability and respect for confidential information.
- A calm, practical approach when plans change or deadlines tighten.
- A positive team attitude, personal accountability and pride in delivering quality work.
Experience in personal or executive assistance, administration, marketing, sales support or another demanding coordination role would be valuable. Real estate experience is an advantage, but we also welcome applicants with strong transferable skills.
Experience with CRM systems, Canva, Microsoft Office or Google Workspace would be helpful.
Training and development
You don’t need to arrive knowing every real estate process. Training and ongoing support will be provided in our systems, procedures and specific tasks as you develop in the role.
You’ll bring the organisation, initiative and commitment to quality; we’ll help you build the industry knowledge to apply those strengths confidently.
Why join us?
You’ll work closely with an established, high-performing team in Papamoa, with variety, meaningful responsibility and the opportunity to make a visible contribution.
Your work will help the team stay focused, our campaigns run smoothly and our clients feel well looked after.

Please send your CV to Rachel Cole at [email protected] and a brief cover letter outlining your relevant experience and why this role appeals to you.
