Personal Assistant (Mandarin Speaker)

PT IZZOO Teknologi Modern is a tech-driven enterprise based in North Jakarta, specializing in wholesale trading, E-Commerce platform development, and AI Short Drama Video systems. We are rapidly expanding and seeking high-caliber professionals to join our team across strategic leadership, managerial, and operational roles.

DETAILED RESPONSIBILITIES & ACCOUNTABILITIES

1. Cross-Border E-Commerce & Supply Chain

• Supplier & Factory Liaison: Interface daily via WeChat, phone, and email with Chinese manufacturers regarding purchase order updates, specifications, sample approvals, and production lead times.
• Shipment & Inventory Tracking: Monitor freight shipments from China factories to overseas 3PL fulfillment centers, tracking customs clearance documentation and inventory receipts.
• Marketplace Administration: Assist in uploading localized product listings, checking platform metric alerts across seller dashboards (Amazon Seller Central, TikTok Shop, Shopify), and organizing product documentation.

1. Media Production & Creative Operations

• Production Logistics & Scheduling: Organize filming call sheets, location permits, equipment rentals, transportation, catering, and on-set logistics for video shoots.
• Script Review & Localization: Translate, review, and proofread Chinese short-drama scripts and subtitles into English and local target languages.
• Talent & Crew Liaison: Manage communications between actors, models, video editors, technical crew, and Chinese directors, ensuring all release forms and contracts are fully executed.

1. Financial Admin & Operational Reporting

• On-Set Budget & Expense Management: Track daily production expenses, manage petty cash disbursements on set, and submit itemized invoices to Finance within 24 hours post-shoot.
• Operational Reporting: Maintain weekly supplier scorecards, stockout risk alerts, and general operational updates for the Head PA and CEO.

JOB REQUIREMENTS & QUALIFICATIONS

1. Experience: 2+ years of experience in e-commerce operational support, international supply chain administration, or creative media production coordination.
2. Language Proficiency : Mandarin: Native or fluent spoken and written (crucial for fast, accurate communication with Chinese factory management, creative directors, and script translation) or English: Fluent spoken and written.
3. Software & Tool Skills: Proficiency in WeChat / WeChat Work, MS Excel / Google Sheets, inventory ERPs, and e-commerce seller dashboards (Amazon, TikTok, Shopify).
4. Key Attributes: Strong ability to multitask under tight schedules, meticulous attention to detail, and an energetic, adaptable personality suited for dynamic warehouse and on-set environments.
