What they need

Personal Assistant / Property Operations Assistant

Immediate Opening – Full-TimeAugusta, GA / CSRAPay: $11.50 per hour40+ Hours Per Week | Some Weekends & On-Call Availability Required

We are looking for a dependable, motivated, and highly organized Personal Assistant / Property Operations Assistant to help manage day-to-day responsibilities involving rental properties, business operations, marketing, contractors, inspections, and special projects.

This is not strictly a desk job. The right person must be comfortable working in the office, driving throughout the CSRA, visiting rental properties and job sites, meeting contractors, putting out signs, handling errands, and completing a wide variety of daily assignments.

We need someone who can be given a task, figure out what needs to be done, follow through, and report back when it is completed.

Primary Responsibilities

Rental Property Operations

  • Conduct move-in and move-out inspections.
  • Schedule and perform routine inspections of single-family rental homes.
  • Show available rental properties to prospective tenants.
  • Follow up with rental prospects and incoming leads.
  • Assist with screening prospective tenants.
  • Put out “For Rent” and “Rooms for Rent” signs at available properties and other approved locations.
  • Learn and use our property inspection software, including SafetyCulture.
  • Assist with move-out documentation and security-deposit correspondence.
  • Follow up on housing-related leads, programs, and contacts.
  • Contact appropriate credit-reporting or collection agencies regarding qualifying tenant damages when directed.
  • Help ensure vacant properties are clean and ready to show or rent.
  • Perform light cleaning of rental properties when necessary.

Contractor & Vendor Coordination

  • Find qualified handymen and build an ongoing contractor/vendor list.
  • Locate plumbers, HVAC technicians, siding contractors, maintenance workers, and other trades.
  • Contact contractors and obtain estimates for repairs and projects.
  • Visit properties when necessary to evaluate the issue before requesting estimates.
  • Follow up with contractors regarding schedules, pricing, and completion.
  • Recruit potential contractors through approved local marketing efforts.
  • Maintain organized contact information and notes for contractors and vendors.

Marketing & Field Work

  • Put out bandit signs and other approved marketing signs throughout the CSRA.
  • Put out hiring and rental signs in designated areas.
  • Follow up on billboard advertising.
  • Order business cards and other marketing materials.
  • Assist with Facebook, Google, Zillow, and other rental marketing efforts.
  • Help market available rooms and properties to workers coming into the area for major construction projects.

Administrative & Business Support

  • Complete a daily task list and provide updates on completed and outstanding items.
  • Make calls and follow up with businesses, vendors, tenants, prospects, and contractors.
  • Research products, services, parts, and vendors as requested.
  • Resolve billing and account issues by contacting the appropriate companies.
  • Learn how to submit bids and locate opportunities through BidNet and SAM.gov.
  • Learn how to conduct and record Zoom interviews.
  • Help schedule interviews, contractors, inspections, and appointments.
  • Keep notes and records organized.
  • Follow up on outstanding issues until they are resolved.
  • Handle miscellaneous business errands and special assignments.

Examples may include:

  • Locating replacement parts for company vehicles.
  • Contacting vendors about billing problems.
  • Checking on contractors or workers.
  • Visiting properties to inspect repair needs.
  • Making follow-up calls.
  • Researching services or suppliers.
  • Handling assignments that may change from day to day.

What We Are Looking For

The ideal candidate must be:

  • Dependable and punctual.
  • Highly organized.
  • Comfortable working independently.
  • Able to follow written and verbal instructions.
  • A strong communicator.
  • Persistent with follow-up.
  • Comfortable speaking with tenants, applicants, contractors, vendors, and business professionals.
  • A good negotiator who is comfortable asking questions and comparing prices.
  • Able to research and solve problems without needing constant supervision.
  • Comfortable learning new software and technology.
  • Willing to work both in the office and in the field.
  • Comfortable entering occupied and vacant rental properties for authorized inspections.
  • Willing to perform occasional cleaning or property-preparation work.
  • Able to handle multiple assignments and changing priorities.
  • Professional when representing the company.

Transportation Requirement

Reliable transportation is required.

This position requires frequent travel throughout Augusta and the surrounding CSRA to:

  • Inspect properties.
  • Show rentals.
  • Meet contractors.
  • Put out signs.
  • Purchase or locate supplies.
  • Complete business errands.
  • Visit job sites and rental properties.

Schedule

  • Full-time.
  • 40+ hours per week.
  • Must have some flexibility for evenings, weekends, and on-call responsibilities when needed.
  • This is an in-person position, not a remote job.

Important

We are looking for someone who takes ownership of assignments.

If you are given a task, we expect you to:

  • Understand what needs to be accomplished.
  • Ask necessary questions.
  • Research or contact the appropriate people.
  • Follow up until the task is completed.
  • Report the outcome.

We do not want someone who simply makes one phone call, leaves a voicemail, and considers the assignment complete.

We need someone who is resourceful, persistent, dependable, and willing to get things done.
