What they need

Be the Right Hand Behind Executive Excellence

Are you highly organised, commercially minded, and comfortable working in a fast-paced executive environment?

We are looking for a Personal Assistant to the Group Chief Operating Officer (Group COO) who can go beyond traditional administrative support. This role is ideal for someone who enjoys working closely with senior leadership, coordinating across business functions, handling confidential information, and turning business information into clear, actionable support for executive decision-making.

If you are someone who anticipates needs, connects the dots, follows through, and gets things done, we would like to hear from you.

🚀 What You’ll Be Doing

  • Manage and prioritise the Group COO's calendar, meetings, travel, and executive priorities while preparing meeting materials, tracking key decisions and action items, monitoring Board, Bursa, and other regulatory reporting deadlines, and ensuring timely follow-up and execution
  • Coordinate with business units, subsidiaries, and stakeholders to track strategic initiatives and management action items, support the Group COO in prioritising critical matters, and drive cross-functional follow-up to ensure timely execution
  • Assist in coordinating Executive Office and facilities-related projects (e.g. office fit-out, vendors, and service contractors), tracking quotations, deliverables, and timelines through to completion
  • Serve as a key liaison between the Group COO and internal and external stakeholders, ensuring effective communication and information flow while consolidating business updates and coordinating relevant resources to support informed executive decision-making
  • Draft, proofread, and format correspondence, minutes, reports, and presentation materials to a standard suitable for Board, regulator, banker, and external stakeholder audiences.
  • Coordinate Board meetings, Board papers and meeting logistics (in liaison with the Company Secretarial team), corporate events, and executive activities while maintaining organised corporate records and supporting process improvements and selected cross-functional projects within the Executive Office.
  • Handle sensitive corporate, financial, and personnel information, including price-sensitive information within a Public Listed Company environment, with strict confidentiality while ensuring compliance with company policies and governance standards.

🎯 What We’re Looking For

  • At least Bachelor's Degree in Accounting, Finance, Business Administration, or a related discipline, with an Accounting background strongly preferred.
  • At least 5 years of relevant experience in Personal Assistance, Executive Support, Administration, or a similar role, supporting C-suite executives, senior management, or a corporate/Board environment.
  • Proficient in Microsoft Office, particularly Excel and PowerPoint, and comfortable adopting digital and AI productivity tools.
  • Strong organisational, communication, coordination, analytical, and problem-solving skills.
  • Excellent written and spoken English, with strong minute-taking and business drafting skills.
  • Mature, proactive, resourceful, and highly dependable, with excellent attention to detail and the ability to work independently while managing multiple priorities in a fast-paced executive environment.
  • Demonstrates sound judgement, discretion, integrity, and professionalism when handling confidential and sensitive information.
  • Strong interpersonal skills and professional presence, with the confidence to engage Board members, regulators, bankers, auditors, and senior external parties.

  • Competitive remuneration package
  • Annual performance bonus (subject to company and individual performance)
  • Medical and insurance coverage
  • 20 days of annual leave entitlement
  • Training and professional development opportunities
  • Exposure to corporate governance practices within a Public Listed Company environment
  • Opportunity to work closely with Senior Management and Board members
