WHY THIS ROLE
In a conventional assistant role, you often receive an instruction after the decision has been made. Here, you will also learn how the decision is prepared.
You will work directly with the CEO of a multi-outlet F&B group. For selected matters, you will gather the facts, identify what is missing, prepare a short brief, join the discussion, record what is decided and make sure the people responsible carry it through.
Through this work, you will learn how outlet operations, finance, hiring, vendors, investor matters and competing business priorities are handled from the CEO's side. You will also learn how to use AI to automate repetitive manual work, build useful trackers and prepare better first drafts, while checking accuracy and protecting confidential information.
You will receive direct feedback on the information you selected, the questions you asked and how well you followed the work through.
Your first responsibility will be to make the CEO Office dependable. Once you can manage the daily brief, calendar, meetings and follow-ups accurately, your scope can expand into selected cross-outlet and special projects. This creates a practical path from executive coordination into project ownership and, eventually, broader business operations.
If you hope to manage projects, run operations or build a business one day, this role will give you daily practice in the skills those ambitions require.
From time to time, you may also help coordinate film and television shoots or music recording projects. They are an occasional part of the role, but they bring a different kind of work and people into the week. The F&B group and CEO Office remain the main focus.
Most of the role supports the business. A defined amount of personal administration is also included because missed appointments, renewals and paperwork can easily take time away from running the company.
WHAT YOU WILL OWN
Give the CEO one accurate daily view of his schedule, priorities, deadlines, overdue matters and decisions requiring his attention.
Manage his calendar and inbox, prepare him for meetings and keep one reliable record of the decisions, owners and deadlines that follow.
Turn incomplete information, long documents and scattered message threads into short briefs the CEO can use to make a decision.
Follow up with employees, candidates, advisers, vendors and other external parties until the original matter has a clear answer or result. There will also be occasional food tasting sessions where your input will be helpful.
Coordinate recruitment, interviews, travel, documents, signatures, system access, expenses, refunds, subscriptions and routine vendor matters.
Facilitate selected meetings and follow-ups with Mandarin-speaking foreign investors.
Accompany the CEO to some meetings and outlet visits and occasionally visit outlets independently to coordinate or verify work.
Manage defined personal administration, including appointments, travel, practical family arrangements, bills, renewals, refunds, receipts and insurance or medical paperwork.
The personal component is professional administration and coordination. It does not involve domestic work or replacing the existing driver, household helper or family support.
WHAT WE NEED
Your previous title matters less than evidence that you have handled complicated coordination carefully and followed work through without repeated reminders.
You should be able to:
Identify missing facts, unclear instructions and unanswered questions before they become problems.
Produce concise written updates separating the issue, decision required, owner, deadline and unresolved points.
Raise a concern respectfully when something does not make sense and work effectively within clear decision rights once a decision is made.
Handle confidential business, financial, family and personal information carefully.
Work confidently with calendars, documents, spreadsheets, bills, receipts and basic financial administration.
Use Google Workspace, Slack, task-management systems and AI tools to reduce repetitive work responsibly.
Communicate professionally in English, Bahasa Malaysia and Mandarin.
Travel independently around the Klang Valley when required.
Experience in executive support, operations, project coordination, hospitality, events, a founder-led company or a fast-moving SME would be helpful. Previous F&B, media or investor experience is not compulsory.
WHAT SUCCESS LOOKS LIKE
After 90 days, the CEO should have one trusted view of his priorities, decisions, owners and deadlines. Meetings should be properly prepared and followed through, routine business and personal administration should no longer depend on repeated reminders, and problems should reach him while there is still time to act.
THE REALITY OF THE ROLE
Your usual workplace will be the Kelana Jaya office. Priorities sometimes change during the day, so you will need to identify the trade-offs, confirm what should move first and keep the remaining commitments visible.
Some early or late coordination may occasionally be required because of restaurant operations, travel or production days. This is not a permanent 24-hour on-call role.
You may prepare, organise, coordinate, follow up and verify. Final approval of bank transactions, contracts, employment decisions, investments, insurance, medical matters and substantive legal, tax or shareholder matters remains with the CEO or relevant adviser.
