About the Role
We are a growing peptide and health-focused e-commerce company seeking a highly organized and detail-oriented Pharmaceutical Inventory & Fulfillment Coordinator to oversee inventory management, order fulfillment, product procurement, and day-to-day shipping operations.
We are specifically seeking candidates with previous experience working in a pharmacy, compounding pharmacy, pharmaceutical company, pharmaceutical distribution center, laboratory, or medical supply environment.
This is not a traditional retail warehouse or delivery position. We are looking for someone who understands the importance of inventory accuracy, product traceability, lot and expiration-date tracking, quality control, and careful handling of specialized health-related products.
The ideal candidate has hands-on experience managing pharmaceutical or medical-product inventory, is comfortable processing and packaging customer orders, and can independently coordinate purchasing, supplier communications, and inventory replenishment.
This is a hands-on role that combines inventory management, pharmaceutical product handling, e-commerce fulfillment, and procurement.
Key Responsibilities
Pharmaceutical Inventory Management
- Manage and maintain accurate inventory records for peptides, health-related products, and packaging materials.
- Track product lot numbers, expiration dates, stock movements, and inventory levels.
- Implement FIFO/FEFO inventory rotation procedures.
- Receive incoming products, verify quantities, inspect packaging, and document discrepancies.
- Perform routine physical inventory counts and reconcile stock records.
- Monitor inventory levels and proactively coordinate replenishment.
- Maintain organized, clean, and properly labeled product storage areas.
- Follow established standard operating procedures (SOPs) for specialized product handling, storage, and traceability.
Order Fulfillment & Shipping
- Process daily customer orders using WooCommerce, ShipStation, Amazon, and other applicable platforms.
- Accurately pick, pack, label, and prepare customer orders for shipment.
- Generate shipping labels, packing slips, and shipping documentation.
- Coordinate shipments through FedEx, DHL, and other carriers.
- Verify product identification, quantities, packaging, and expiration dates before shipping.
- Monitor shipment tracking and resolve shipping exceptions.
- Maintain an organized and efficient packing and fulfillment workspace.
- Coordinate carrier pickups and drop-offs when necessary.
Procurement & Supplier Management
- Manage purchasing and replenishment of inventory, packaging materials, and operational supplies.
- Research and identify suppliers for packaging, bottles, caps, labels, boxes, and other product components.
- Request and compare vendor quotes, pricing, minimum order quantities (MOQs), and lead times.
- Negotiate pricing and purchasing terms with suppliers.
- Prepare and track purchase orders and incoming shipments.
- Coordinate samples and packaging specifications for new product launches.
- Maintain supplier records, purchasing histories, and pricing comparisons.
- Anticipate purchasing needs to prevent inventory shortages and launch delays.
Quality Control & Operations
- Inspect incoming and outgoing products for labeling, packaging, quantity, and quality accuracy.
- Follow product-specific storage, handling, and shipping requirements.
- Maintain accurate documentation for inventory, purchasing, and fulfillment activities.
- Identify opportunities to improve inventory accuracy, reduce shipping errors, and optimize costs.
- Communicate proactively with management regarding inventory shortages, supplier delays, and operational priorities.
- Help maintain and improve operational SOPs and quality-control procedures.
Required Qualifications
- Previous professional experience in a pharmacy, compounding pharmacy, pharmaceutical company, pharmaceutical distribution center, laboratory, or medical supply environment.
- Hands-on experience with inventory management, stock control, receiving, and product handling.
