Planning Supervisor

Key Responsibilities

1. Customer Order Management

• Receive, review, and process customer purchase orders.
• Verify product specifications, quantities, pricing, and delivery requirements.
• Confirm delivery schedules with customers and the Sales team.
• Prioritize customer orders based on production capacity and business requirements.
• Coordinate order amendments, cancellations, and special customer requests.
• Ensure all customer orders are entered accurately into the ERP system.

2. Production plan and Packing Note (PN)

• Prepare and issue Production Plan, Packing Note (PN) accurately and on time.
• Verify pricing, product details, Incoterms, payment terms, and shipping conditions.
• Coordinate with Sales, Finance, and customers regarding PI revisions and approvals.
• Maintain complete and accurate the document records.

3. Production Planning & Follow-up

• Release production orders according to customer demand and production capacity.
• Coordinate daily production schedules with the Production Department.
• Monitor production progress to ensure adherence to delivery commitments.
• Identify production delays and coordinate corrective actions with relevant departments.
• Provide regular order status updates to Sales and customers.
• Escalate potential delivery risks to management in a timely manner.

4. Delivery & Logistics Planning

• Plan and coordinate domestic and international shipments.
• Schedule deliveries to meet customer requested delivery dates.
• Coordinate with Shipping team and transportation providers.
• Ensure export documentation is complete and accurate, including:
• Commercial Invoice
• Packing List
• Shipping Instruction
• Other export documents as required
• Track shipment status until successful delivery to customers.
• Resolve shipping issues, delays, and transportation-related problems.

5. Inventory Coordination

• Coordinate with Warehouse to ensure product availability.
• Monitor inventory levels to support customer demand.
• Prevent stock shortages and minimize excess inventory.
• Ensure finished goods are prepared for shipment according to schedule.

6. Team Management

• Supervise and coach Planning team members.
• Assign and monitor daily workloads.
• Evaluate employee performance and provide constructive feedback.
• Develop team capability through training and continuous improvement initiatives.
• Ensure compliance with company policies and departmental procedures.

7. Continuous Improvement

• Analyze planning and logistics performance indicators.
• Improve planning processes to enhance delivery performance and operational efficiency.
• Identify opportunities to reduce lead time and logistics costs.
• Participate in Lean, Kaizen, and continuous improvement projects.
