Position:

Position Purpose

The PMS Administrator is responsible for ensuring the integrity, accuracy and effective operation of the Company's Planned Maintenance System (PMS), supporting the safe, reliable and efficient technical management of the fleet.

Working within the Technical Department, the PMS Administrator maintains high-quality maintenance data, supports statutory and company compliance, and assists vessels and office personnel in the effective use of the PMS. Through standardisation, data quality and continuous improvement initiatives, the role contributes to machinery reliability, operational excellence and the Company's commitment to safe and efficient ship management.

Key Responsibilities

• Administer and maintain the Company's Planned Maintenance System across the fleet.
• Maintain accurate equipment hierarchies, machinery records and maintenance databases.
• Create, update and maintain maintenance jobs, task lists, maintenance intervals and spare parts information.
• Support vessels in the effective use of the PMS and provide first-line technical assistance.
• Support compliance with Class, Flag State, OEM recommendations, ISM Code and Company maintenance requirements.
• Assist Technical Superintendents in preparing documentation for audits, inspections and surveys.
• Ensure statutory maintenance records remain complete and traceable.
• Monitor overdue maintenance and provide regular reports to Technical Superintendents.
• Assist in analysing maintenance trends and identifying areas requiring attention.
• Participate in PMS data migration and software implementation projects.
• Identify opportunities to improve maintenance processes and PMS utilisation.
• Contribute to the continuous improvement objectives of the Technical Department.

Requirements:

Qualifications & Skills

Essential

• Degree in Engineering discipline
• Strong IT literacy with excellent Microsoft Excel skills.
• Excellent communication skills in English.
• Candidate must be eligible to work in Greece.

Desirable

• Experience in ship management or the maritime industry.
• Familiarity with Computerised Planned Maintenance Systems.
• Knowledge of ISM Code and planned maintenance principles.
• Database management experience.
