PO VALIDATION STAFF

About the role

The purchase Order Validation Staff is responsible for the validation and recording Of delivered goods. He/she checks and directs the delivery of goods to end users and requestors in an efficient, effective, timely, and safe manner.

Key responsibilities

• Review and validate all incoming purchase orders for completeness, accuracy and compliance with company standards and procedures
• Verify purchase order details including item descriptions, quantities, pricing, delivery dates and supplier information
• Cross-reference purchase orders against approved vendor lists and contracts to ensure authorised supplier usage
• Identify and document discrepancies, errors or non-compliances in purchase orders and communicate findings to relevant stakeholders
• Process corrections and amendments to purchase orders in accordance with established workflows
• Maintain detailed records and documentation of all validated purchase orders for audit and traceability purposes
• Liaise with procurement, finance and operations teams to resolve purchase order issues and clarifications
• Monitor purchase order metrics and contribute to process improvement initiatives
• Ensure adherence to regulatory requirements and internal policies throughout the validation process

What we're looking for

• Minimum Educational Attainment: Graduate Of any four (4)- year business course
• Proven experience in purchase order processing, procurement or quality assurance functions
• Strong attention to detail with the ability to identify errors and inconsistencies in documentation
• Proficiency in using enterprise resource planning (ERP) systems and Microsoft Office applications
• Excellent organizational and time management skills with the ability to handle multiple purchase orders simultaneously
• Strong communication skills and the ability to work effectively with cross-functional teams
• Knowledge of supply chain management principles and procurement best practices
• Familiarity with quality assurance standards and regulatory compliance requirements in manufacturing and logistics
• Ability to work independently whilst maintaining accuracy and meeting deadlines
• Commitment to continuous improvement and adherence to company policies and procedures
