Newcomb Smiles Dental is a growing, modern dental practice in Geelong's eastern suburbs, part of the same ownership group as the well-established Dove Dental Waurn Ponds. We're building a close-knit, patient-focused team and looking for a Practice Manager who wants to help shape that culture as the clinic grows.

About the Role

We're seeking an experienced Practice Manager to run the day-to-day operations of Newcomb Smiles Dental, working closely with our Principal Dentist. As a smaller, growing practice, this is a genuinely hands-on management role. Alongside running the business side of the clinic, you'll be comfortable stepping onto the front desk or lending a hand chairside during busy periods, staff absences, or as the practice scales. As Newcomb grows, we expect this role to move further into full-time practice management - this is a chance to help build that growth, not just manage around it.

Key Responsibilities

• Oversee daily clinic operations, patient scheduling, and workflow across clinical and front-of-house teams
• Manage staff rostering, leave requests, recruitment support, and day-to-day HR administration
• Ensure compliance with dental industry regulations, infection control standards, and workplace health & safety requirements
• Manage patient billing, health fund claims, and basic financial administration (Xero)
• Maintain and optimise use of CareStack practice management software
• Handle patient enquiries, complaints, and service recovery with a calm, professional approach
• Step in on reception and basic chairside/dental assisting support during busy periods, staff absences, or as the practice scales
• Act as the key point of contact between clinical staff, admin staff, and practice ownership

About You

• Previous experience as a Practice Manager or senior admin/operations role in a dental or allied health setting (essential)
• Strong understanding of dental practice workflows and patient scheduling systems
• Confident managing a small team, with excellent communication and conflict-resolution skills
• Organised, proactive, and genuinely happy to pitch in wherever needed in a small, growing team
• Reception or dental assisting experience is a strong plus, though not essential — full training provided for any hands-on clinical support tasks
• Sound understanding of workplace relations basics — Fair Work obligations, leave entitlements, rostering fairness
