Are you organised, friendly and great with people?
We’re looking for a Practice Manager to join our growing Allied Health clinic in Fairfield.
We have a friendly, relaxed and supportive team, and we’re looking for someone who fits our culture and genuinely enjoys working with people.
This is a varied and important role where you’ll be at the heart of the practice — looking after our patients, supporting our team, keeping the clinic running smoothly, helping with marketing and contributing to the continued growth of the business.
Previous Practice Management experience is not essential. We are looking for someone with the right attitude, maturity, communication skills and willingness to learn.
What You'll Be Doing Running the Practice
- Oversee the day-to-day operations of the clinic
- Manage reception, bookings, enquiries, payments and general administration
- Ensure the clinic's systems and processes run smoothly
- Identify ways to improve efficiency and patient experience
- Assist the clinic owner with the general management and growth of the practice
- Monitor key practice performance indicators and provide regular feedback to the clinic owner
Supporting the Team
- Work closely with the clinic owner to support the management of staff
- Assist with staff onboarding, training and day-to-day support
- Help address staff concerns and performance matters when required
- Assist with resolving workplace issues and complaints
- Help maintain a positive, respectful and supportive team culture
- Ensure important information is communicated effectively across the team
Patient Experience
- Create a warm, friendly and professional experience for every patient
- Handle patient concerns and complaints calmly and professionally
- Follow up complaints and ensure issues are resolved appropriately
- Monitor patient feedback and online reviews
- Help improve patient retention, rebooking and follow-up
- Build strong relationships with patients and make them feel valued
Marketing & Business Growth
- Assist with the clinic's marketing and social media
- Coordinate and assist with website updates, promotions and marketing campaigns
- Assist with creating and coordinating marketing content
- Help build relationships with GPs, specialists and other referral partners
- Develop relationships with local businesses and the local community
- Identify opportunities to increase awareness and grow the clinic
- Assist with patient communications and promotional activities
Clinic Presentation & Supplies
- Ensure the clinic is clean, tidy, organised and professionally presented
- Coordinate cleaning services when required
- Ensure treatment rooms, reception and common areas are maintained to a high standard
- Manage clinic supplies and stock
- Order stationery, cleaning products and other practice supplies
- Liaise with suppliers when required
Administration & Financial Support
- Process payments and assist with accounts administration
- Monitor outstanding accounts and follow up where required
- Assist with general financial administration and liaise with the bookkeeper/accountant
- Monitor practice expenses and supplies
- Assist with reporting and tracking practice performance
Systems, Policies & Compliance
- Ensure practice policies and procedures are followed
- Assist with maintaining privacy and compliance requirements
- Keep administrative systems and processes up to date
- Coordinate issues relating to booking systems, phones, computers and other technology
- Identify problems and take initiative to resolve them or escalate them to the clinic owner
What We Value
We value someone who:
- Takes ownership and follows things through to completion
- Can identify a problem and find a solution without always needing to be told what to do
- Understands the importance of confidentiality and discretion
- Is comfortable managing sensitive patient and staff matters professionally
- Communicates openly and honestly with the clinic owner
- Can prioritise tasks and stay calm when things get busy
- Is comfortable looking at numbers, KPIs and business performance
- Treats patients, practitioners and colleagues with respect
- Wants to build a long-term role within the practice rather than simply work a job
The Person We're Looking For
You will be someone who is:
- Friendly, approachable and genuinely enjoys working with people
- Organised, reliable and proactive
- A confident communicator
- Professional and well presented
- Comfortable speaking with patients, staff and healthcare professionals
- Confident handling complaints and difficult conversations
- Able to use initiative and solve problems
- Comfortable working independently
- Positive and willing to learn
- Detail-oriented and able to manage multiple priorities
- Confident with computers and technology
- Interested in marketing and business growth
- Someone who takes pride in their work and cares about providing an excellent patient experience
Essential Requirements
- Fluent in spoken and written English
- Must have unrestricted working rights in Australia
- No visa sponsorship is available for this position
- Excellent communication and interpersonal skills
- Strong organisational and administrative skills
- Professional presentation and manner
- Ability to work independently and as part of a team
- Commitment to a consistent, long-term work schedule
Vietnamese or Chinese language skills would be highly desirable to support communication with members of our diverse patient community.
What We Offer
- 4 days per week
- Potential for the role to increase to additional days or full-time hours in the future as the practice grows
- A friendly, relaxed and supportive team
- A supportive and welcoming multidisciplinary environment
- Comprehensive training and ongoing support
- The opportunity to make a genuine impact on the growth and success of the clinic
- A varied role with opportunities to develop your skills across practice management, patient experience, staff support, marketing and business operations

- A positive workplace culture where initiative, teamwork and new ideas are valued
- The opportunity to grow with the practice and develop a long-term career within the business
