Practice Manager / Senior Receptionist

About the Role

We are looking for an experienced, motivated and hands-on Practice Manager to join our medical practice and take responsibility for the smooth day-to-day operation of the practice.

This is a varied role suited to someone who is confident managing people, finances, Medicare processes, patient services and practice operations, while also being comfortable getting involved on the front line when required.

You will work closely with the doctors and practice team to ensure the practice runs efficiently, provides an excellent patient experience and continues to grow.

About You

We are looking for someone who is organised, proactive and commercially minded, with excellent communication and people-management skills.

You will ideally have experience in a medical practice environment and be confident using Best Practice (BPS) medical software.

You will be someone who:

• Has previous experience as a Practice Manager or in a senior medical administration role
• Is confident with Best Practice medical software, Hotdoc and Deputy
• Has a strong understanding of Medicare claiming and submissions
• Can manage staff rosters, leave and day-to-day staffing requirements
• Is comfortable with practice financials, billing, payments and reporting
• Can step in at the front desk when required, including patient check-in and processing patient billings
• Has excellent customer service and communication skills
• Is confident managing and supporting staff
• Is highly organised and able to prioritise competing demands
• Has a proactive, "can-do" attitude and is happy to be hands-on
• Has a commercial mindset and enjoys identifying opportunities to improve practice revenue
• Is comfortable promoting and selling new services to patients in a professional and ethical manner
• Can build strong relationships with doctors, staff, patients and external providers
• Takes initiative and can work independently

Key Responsibilities

Your responsibilities will include, but are not limited to:

Practice Operations

• Oversee the day-to-day operation of the medical practice
• Ensure the practice runs efficiently and professionally
• Develop and maintain effective systems and processes
• Support compliance with relevant medical practice requirements and policies

Staff Management

• Manage staff rostering and daily staffing requirements
• Support recruitment, onboarding and training
• Provide leadership, guidance and performance support to the practice team
• Manage staff leave and ensure appropriate coverage

Financial & Medicare

• Oversee patient billing and payments
• Manage Medicare claiming and submissions
• Monitor practice financial performance and reporting
• Assist with budgeting, cost control and improving practice profitability
• Identify opportunities to improve billing processes and revenue

Patient Experience

• Maintain a high standard of patient service and professionalism
• Step in at reception when required to assist with patient check-in, bookings and billing
• Handle patient enquiries and resolve issues appropriately
• Ensure the patient journey is smooth and welcoming

Practice Growth

• Identify opportunities to introduce and grow new services within the practice
• Confidently communicate the benefits of new services to patients
• Work with the doctors and team to support practice growth and revenue
• Look for ways to improve efficiency, patient engagement and overall practice performance
