What they need
About the role
Our client , a well-established architecture firm based in Ireland — working on public, private, and international projects — is looking for a Prequalification & Tender Coordinator to run its bid pipeline day to day. You'll be the one keeping every open opportunity on track: watching the government procurement portal for new notices, pulling together prequalification and tender documents from a well-organized document library, and making sure nothing misses a deadline. This is a replacement role, so the systems, folders, checklists, and templates are already set up — you'll be learning a process that already works, and can improve it once you're comfortable with it. This role is a good fit for someone who is very organized, careful with details, and able to handle several submissions at the same time, each with its own deadline.
Employment Type: Full-time Freelance
Set Up: Full Onsite
Time: Graveyard/Night Shift
Schedule : Mon - Fri (9:00 AM–5:30 PM IST)
Location: Eastwood, Metro Manila
Key responsibilities
- Check the procurement portal every day for new opportunities, log and file each one, and keep the pipeline tracker updated and accurate
- Write short summaries of new opportunities to help the team decide whether to go for them, and send a weekly pipeline report to the Operations Director and leadership team
- Read each set of prequalification requirements carefully, build a checklist, pull the right evidence from the document library, fill out all forms and declarations, and check and format the final package before uploading it well before the deadline
- Help the Bid Manager during the tender stage — putting together written submissions, completing pricing sheets and resource plans, and keeping track of document versions
- Request and follow up on documents from outside consultants, keep their files up to date, and communicate clearly and professionally with both consultants and government contacts
- Help keep the shared document library and templates current, and give general document support to the wider team when needed
Qualifications
- Strong written and spoken English, with the ability to write clearly and summarize long documents accurately
- Comfortable using Microsoft Lists, SharePoint, and OneDrive
- Excellent with Excel (tables, formulas, formatting) and Word (styles, headings, tables, PDF export)
- Very organized and good with deadlines, able to manage several tasks at once
- Careful and detail-focused — able to catch small mistakes before they go out
- Polite and professional in all communication
- Able to work independently from home, with reliable internet and availability during Irish work hours
- Experience with public procurement or bid/tender documents in Ireland (nice-to-have)
- Background in architecture, engineering, construction, or a related field (nice-to-have)
- A related degree (nice-to-have)
Benefits
- Full-time, permanent, fully remote job
- Microsoft 365 and full access to the company's systems provided
- Regular check-ins with your manager and the Bid Manager
