What they need
Purpose of the Role:
The Pricing Management Officer acts as the operational link between Sales, Billing, Finance and Operations to ensure that customer pricing is accurately maintained, approved, communicated and applied throughout the order-to-cash process. The role owns customer rate-card administration, supports customer master-data and system onboarding, resolves rate-related billing disputes, and coordinates intercompany billing for designated profit-share arrangements where local Operations is not directly involved.
Key Responsibilities:
Rate-Card Management and Governance
- Maintain complete, accurate and current customer rate cards, including approved tariffs, surcharges, validity periods, currencies, lanes, services and special conditions.
- Validate pricing instructions and approvals before any rate is created, amended or uploaded.
- Set up and upload approved rates in the Transport Management System and other designated applications, subject to appropriate system access and segregation-of-duties controls.
- Maintain an auditable record of rate versions, approvals, effective dates and supporting documents.
- Perform periodic checks to confirm that system rates match the latest approved commercial agreements.
Pricing Communication and Stakeholder Coordination
- Serve as the central coordination point for rate updates between Sales, Billing, Finance, Operations and relevant support functions.
- Communicate approved rate changes promptly, clearly stating the affected customer, scope, effective date and required action.
- Confirm implementation readiness and follow up on outstanding inputs, approvals or system issues that may affect billing accuracy.
- Escalate pricing gaps, conflicting instructions, expired rates and control exceptions to the appropriate owner.
- Billing Dispute and Receivables Follow-up
- Investigate and resolve customer billing disputes related to rates, surcharges, currencies, validity dates or pricing conditions.
- Coordinate corrective action with Sales, Billing, Finance and Operations, and maintain clear supporting documentation for each case.
- Create credit notes and arrange rebilling only within approved access rights, supporting documentation and authorization limits.
- Monitor open rate-related disputes through to financial settlement and close each case only after payment, clearing or an approved resolution is confirmed.
- Track dispute ageing, recurring causes and financial exposure, and recommend preventive actions.
Customer Onboarding and Master Data
- Coordinate the billing and pricing workstream for new-customer onboarding.
- Initiate and follow up on required master-data creation and system setup in MDG, TMS, LFS and other applicable platforms.
- Ensure customer codes, billing instructions, currencies, payment terms, tax requirements, invoice references and agreed rates are complete and aligned before go-live.
- Support testing and post-go-live validation to confirm that rating and billing function as intended.
Intercompany Billing and Profit-Share Projects
- Act as the designated point of contact for intercompany billing relating to approved profit-share projects where local Operations is not directly involved.
- Verify the billing basis, agreed allocation, receiving entity, charge codes, currency, references and supporting documentation before invoice issuance or approval.
- Coordinate dispute resolution, credit notes, rebilling and payment follow-up with relevant internal stakeholders and overseas offices.
- Maintain accurate records and ensure compliance with applicable intercompany policies, timelines and approval requirements.
Reporting and Continuous Improvement
- Prepare regular reporting on rate updates, dispute volumes, ageing, recovery status, onboarding progress and intercompany billing.
- Identify recurring errors and control gaps, perform root-cause analysis and recommend process or system improvements.
- Maintain process documentation, trackers and standard work instructions.
- Support audits, management reviews and other duties reasonably assigned within the scope of the role.
Professional Qualifications and Experience
- Diploma or degree in Business Administration, Finance, Accounting, Supply Chain, Logistics or a related discipline.
- Relevant experience in pricing administration, billing, commercial support, customer service, finance operations or logistics is preferred.
- Sound understanding of rate-card structures, invoicing, credit notes, rebilling, receivables follow-up and customer master data.
- Experience with TMS, MDG, SAP or comparable enterprise systems is an advantage.
- Proficient in Microsoft Excel, Word and Outlook; able to work confidently with data and trackers.
- Good command of written and spoken English.
Personal Competencies
- Strong numerical accuracy and attention to detail.
- Analytical and structured approach to problem-solving.
- Clear communication and effective stakeholder management.
- Ownership mindset with disciplined follow-through.
- Ability to prioritize competing deadlines in a fast-paced environment.
- High integrity and respect for confidentiality, controls and delegated authority.
- Collaborative, service-oriented and willing to challenge discrepancies constructively.
