Processing QA & Admin Assistant

Hybrid Infusions Ltd. is looking for a Processing QA & Administrative Assistant to support our processing team through accurate recordkeeping, inventory tracking, production reporting, and quality assurance activities.

This role is a great fit for someone who enjoys working with numbers, solving discrepancies, keeping information organized, and ensuring important details don't fall through the cracks.

Working closely with our Processing Manager and Quality Assurance team, you'll help keep production records accurate, organized, and ready for review. You'll also spend time on the production floor performing routine verification checks, assisting with sampling activities, and supporting compliance with our established procedures.

What You'll Be Doing

Production Administration & Recordkeeping

• Enter and maintain accurate production data in spreadsheets, trackers, and reporting systems.
• Review batch records, production paperwork, and sanitation documentation for accuracy and completeness.
• Identify missing information, calculation errors, and inconsistencies between records.
• Follow up on routine documentation corrections and flag unresolved issues.
• Prepare daily and weekly production reports.
• Maintain organized electronic and physical records.

Inventory & Production Tracking

• Track cannabis inventory, work-in-progress products, weights, and production quantities.
• Reconcile inventory records against production documentation.
• Investigate discrepancies and escalate potential product-control concerns.
• Support accurate product traceability throughout Processing operations.

Quality Assurance Support

• Assist with preparing and tracking product samples submitted to third-party laboratories.
• Maintain sample logs, testing records, and Certificates of Analysis.
• Review production and quality documentation to support batch release preparation.
• Assist with line clearance checks, documentation verification, and in-process weight reconciliation.
• Support investigations by gathering information and relevant documentation.
• Maintain quality-related trackers, corrective action records, and follow-up items.
• Assist with internal audits, inspections, and controlled document organization.

In-Process Verification

• Conduct routine documentation checks during active production.
• Verify product identification, lot numbers, weights, and production information against approved records.
• Identify and report documentation errors, discrepancies, or potential compliance concerns.
• Work collaboratively with Processing and QA to support accurate, compliant operations.

What We're Looking For

• Strong attention to detail and a commitment to accuracy.
• Excellent organizational skills and the ability to manage multiple priorities.
• Confidence working with numbers, spreadsheets, and data entry.
• Proficiency with Microsoft Excel and other Microsoft Office applications.
• Strong written and verbal communication skills.
• Ability to identify discrepancies, investigate information, and follow through on outstanding items.
• Comfortable working independently while collaborating with different departments.
• Ability to handle sensitive information professionally and maintain accurate records.

Assets (Not Required)

• Previous experience in an administrative, quality assurance, inventory, or production support role.
• Experience in cannabis production, manufacturing, food processing, or another regulated industry.
• Familiarity with Good Production Practices (GPP), quality management systems, or controlled documentation.
• Experience reviewing batch records, maintaining inventory trackers, or supporting quality inspections.

Pay: $18.00-$20.00 per hour
