About the role

RFS Hydraulics Sdn. Bhd. is seeking a Procurement Admin to join our dynamic procurement team on a full-time basis. Based in Bangsar, Kuala Lumpur, this role is central to our supply chain operations and will have a direct impact on our operational efficiency and cost management. As a Procurement Admin, you will be responsible for sourcing, negotiating, and procuring high-quality materials and components that are critical to our manufacturing and logistics operations. This position offers an excellent opportunity to develop your procurement expertise within a forward-thinking organisation in the manufacturing, transport and logistics sector.

Key responsibilities

1. Identify, evaluate and select reliable suppliers for hydraulic components and materials, ensuring they meet quality and cost standards
2. Prepare and issue purchase orders, ensuring accuracy of specifications, quantities, delivery dates and pricing terms
3. Negotiate contracts and pricing with suppliers to achieve optimal value for money whilst maintaining quality standards
4. Monitor supplier performance, including on-time delivery, quality compliance and cost efficiency
5. Maintain and update procurement records, inventory databases and vendor information systems
6. Coordinate with internal departments, including operations, finance and engineering, to ensure procurement aligns with business requirements
7. Analyse market trends and commodity prices to identify cost-saving opportunities and inform strategic purchasing decisions
8. Process invoices and resolve discrepancies between purchase orders, delivery notes and supplier invoices
9. Participate in inventory management activities to ensure optimal stock levels and reduce excess inventory
10. Support the procurement team with administrative duties and ad hoc procurement projects as required

What we're looking for

1. Diploma or Bachelor's degree in Business, Supply Chain Management, Procurement, Engineering or a related field
2. 2-3 years of experience in a purchasing or procurement role, preferably within the manufacturing, hydraulics or automotive industry
3. Strong knowledge of supply chain practices, procurement procedures and vendor management
4. Excellent negotiation skills with the ability to secure competitive pricing and favourable contract terms
5. Proficiency in procurement software and Microsoft Office applications (Excel, Word, Outlook)
6. Strong analytical and problem-solving abilities, with attention to detail and accuracy
7. Excellent communication and interpersonal skills with the ability to work effectively across multiple departments
8. Understanding of quality standards and compliance requirements relevant to manufacturing operations
9. Ability to manage multiple priorities, meet deadlines and work independently within a team environment
10. Knowledge of hydraulic components, technical specifications or manufacturing processes would be advantageous
